This problem has been identified and
fixed. Just download the relevant fax client for your particular version
and save it somewhere. Then rename it to FAXCLIENT.EXE and copy or
move it to the main fax client installation folder on each client
computer that requires it. The Thumbs Viewer will then work

THE
USER ACCESS CONTROL SYSTEM IN WINDOWS VISTA
This is a public service to our many customers and potential
customers as a great many people have already asked us how they can do
this ;-)
If you are really tired
of being nagged by this wholly unnecessary and intrusive "so called
protection" system, here is how to disable it (almost) entirely... 1
- Go to Control Panel and select User accounts 2
- Click on the option labeled "Turn user account Control on or
off" 3 -
UNCHECK the option on the screen that is displayed. 4
- Click OK 5 -
Windows Vista will tell you you HAVE to restart it to make this setting
change - DO SO. That's
it, you are now back in far more control of your machine than you were
with that horrible UAC system enabled. Vista
will still popup nag messages warning you that UAC is NOT RUNNING, just
dismiss them, as we cannot (yet) find a way to disable them as well !

UPGRADING AN EXISTING
FAX CLIENT ON WINDOWS VISTA
Due (as always) to the
overly intrusive "User Access Control" system (UAC) in Windows
Vista, it is ABSOLUTELY ESSENTIAL THAT the NetCFax Server and/or the
NetCFax Client(s) are NOT
INSTALLED in any folder located in the normal Windows \Program Files\... folder
tree, even if UAC is totally disabled (highly recommended by us at least
so you regain FULL control of YOUR PC).
Due to this the default installation
folder for the NetCFax Server and the clients hav now been changed to
C:\NetCPlus\....Server/ or C:\NetCPlus\....Client\.
If you happen to be one of
the (fairly) few people that has already installed the previous release
of a NetCFax Client on a Vista system that has UAC enabled, WE STRONGLY
recommend that you uninstall that/those clients and install them as a
new client in the default folder we provide.
This will correct all of
the problems you may have already encountered running the Fax client
under Vista.
WARNING - Due to this
idiotic new restriction placed on us all Microsoft alone, if you do
change the installation location of the fax server installation, you
WILL LOSE ALL OF YOUR FAXES. This is because the databases hold
the original fully qualified path to the fax files. We are afraid
that this cannot be worked around at this time. The fax clients
can be changed without any major problems.

THE
NETCFAX CLIENT PRINTER WILL NOT INSTALL on Windows Vista (IT HANGS)
After the public release of the latest
versions that include Vista support, it was discovered that the auto
install of the fax client printer would often hang.
This is due entirely to the (very
annoying and ever present) User Access Control (UAC) system built in to
Vista. Unless you have managed to disable this very annoying and
intrusive system in Windows Vista the automatic install of the fax
client printer driver will almost certainly fail as even though you
(think) you are logged in with Windows administrator rights, the UAC
system does not actually give you those apparent rights, and therefore
you will discover that you do not have the rights required to install a
printer driver.
However, we have found a way to
overcome this that is quite simple - just ensure that when you are ready
to start the fax client you right click on the Fax Client shortcut and
then click the 'Run as Administrator' option which will force Vista to
give you back (most) of the Windows access rights you thought you
already had anyway. The printer driver will then install
successfully as it does on all other versions of Windows.

Using
the fax client printer in Remote Desktop sessions on Windows 2003 Server
(Terminal Servers)
The new 3.7, 3.2 and 2.8 releases of
NetCFax introduce the ability to use the NetCFax printer drivers
normally even when running under Windows Terminal Services.
However, due to security rules insisted
on by Microsoft in these environments, when
running under Windows 2003 Terminal Services any user accounts which
will be running the NetCFax Client and/or printing using the NetCFax
Client printer will need to have the following permissions:
1. The user account must have
the "Create Global Objects" permission. This is applied via
the User Rights Dialog.
2. The user account must have
Write permissions for a file called fax (THIS HAS NO FILE SUFFIX AT
ALL, it is just FAX in lower case) which must be located in the
windows\system32 directory. If such a file doesn't already exist then
create an empty file with that name and be sure to add Write permission for
the desired user account. This step is not needed if the user account is
a member of Power Users or Administrators.
Failure to add these permissions will
cause print jobs to fail or the user's application to not receive print
events.
The install and upgrade systems do try
to set these, but it is sometimes not possible due to other
security settings.

THE
NETCFAX SERVER REPORTS IT IS OUT OF MEMORY
We have only had a single
report of this problem with the NetCFax server, and after considerable
time and effort working with the reseller concerned to track the cause,
they have both identified and proved conclusively that an Anti Virus
product named NOD32 (latest release) is the cause of this problem.
It appears that this AV system is mishandling Windows Memory very badly,
causing other applications to be unable to acquire the memory they need
to perform their own tasks.
If you see this error, please check to see if NOD32 is
installed. If it is you will need to uninstall it totally and
you will then see that NetCFax (and other programs) will not have this
problem and will work just fine.

THE
NETCFAX SERVER ONLY SEEMS TO SEND FAXES AT 2400
We have only had a single
report of this problem with the NetCFax server, have tracked the cause
to a faulty recent release build system only.
A new release was made May
25, 2007 that corrects this issue.
If you saw this error, we
recommend that you upgrade your system, and then perform a full NetCFax
Rescan for modems to reset their operational settings correctly.

THE
NETCFAX SERVER SEEMS TO TAKE A LONG TIME TO CLOSE DOWN
We have had the
occasional report of this problem with the NetCFax server, and have tracked the cause
down to a file named FM3032.EXE.
If you see this problem, it
may be that at some time your Windows system closed the fax server down forcibly,
leaving this FM3032.EXE file still running. The fix is very simple, just
Close down the fax server normally, and then open Task Manager, select
the processes tab, and if FM3032.EXE is listed, click the "End
Process" button and confirm when asked to do so. The
server will now close down almost immediately as expected.

REINSTALLING THE
NETCFAX SERVER
If you have had to reinstall
the NetCFax server for some reason, or move it to a different machine,
it will always have a different serial # to your previous
installation.
This is due to our software
licensing protection system, which always creates a new and unique
serial # whenever it is installed. The new installation will start
up as a 15 day evaluation system.
Please do not call technical
support about this. All you have to do to obtain a new
registration code is to send an EMAIL to sales@netcplus.com
and tell us what has happened. In this email you MUST provide us
with the original systems serial # (this can be found in
the original registration email we sent back to you) and of course the
serial # of the new installation. Please note that this
cannot be done over the phone.
We will cancel your previous
registration, and issue you with a new registration code for the new
system totally free of charge up to 3 times in any one year
Further requests in excess of 3 in any one year will be charged
at $25 per key.

From the release of NetCFax
v2.70 and NetCFax Pro v3.10 (and all later releases) support has been
provided so that the fax
clients can be used in the more advanced Windows operating systems
environments.
The fax clients now
provide full support for running multiple instances simultaneously,
including under XP with "Fast Task Switching" enabled, and in
multiple Remote Desktop Sessions on Windows 2000 and 2003 servers.
Running under XP and Fast Task
Switching
What this means in real
terms is that you can now have multiple login accounts under Windows XP
Pro Fast Task switching system all running their own NetCFax client,
using their own personal configuration (based on the NetCFax login
account in use), and these can all be connecting to the same, or even
several different NetCFax servers at the same time. Only one fax
client needs ot be installed on the XP Pro machine
Running under Remote Desktop Sessions
(RDP)
Under this environment,
all of the sessions are actually running the same single fax client
installation on the Windows server in separate (what are known as)
"Winmachine" environments. The NetCFax client now allows
as many Remote Desktop Sessions as you wish to start and use a copy of
the fax client, and once they log into a fax server, the fax client
system on the Windows Server automatically assigns any previously
existing client configuration for that NetCFax login account to the
client. If none exist at that time, a new one is created based on
the default configuration.
Naturally, the vastly
improved support for both of these still honors the standard licensing
checks performed by the fax server, so you still cannot use the same
NetCFax login account to log in under two different Remote Desktop
sessions, or logins under XP and FTS, as the fax server will refuse any
subsequent logins using that account until it is logged back out
again.
Quite naturally we are
always being asked a great many questions about computer based faxing
systems, so we have tried to provide all the information we have on
these questions right here on this page.
Because we have found that
many people do not really understand the way that computer based fax
systems work, we have tried to provide answers to almost all of the
possible questions we have been asked over time on this page.

note that most of the entries on this page are provided to
answer your general questions, and they certainly
do not
represent a list of bugs in netcfax. |
If you are running NetCFax
(v2.65..8 or v3.00.8 or earlier) under Windows XP and when you load the fax viewer you get an error
message asking you to use REGEDIT, you just need to update your fax
system to the latest release.
Some received faxes go
into the BAD RECEIVED faxes drawer, but they mostly seem to be OK ?
If you get quite a lot of
these types of received faxes, there are several possible causes, and a
built in work around as well.
First of all, the most
likely causes :
1 -You may be trying to
use the standard modem that came with your PC. These are almost
always very cheap "software" style modems, and these simply do
not work correctly with most computerized fax systems. You need to
go to your local computer store and purchase a decent Class 1 or Class 2
all hardware based modem and set it up correctly.
2 - You may not be using
the correct modem initialization string. You need to check this
with your particular modem's manufacturer, or check out our extensive
modem information that is available in the NetCFax Server Information
Vault. Please note that we do not provide support on individual modems
directly, as there are far too many types to be able to do so.
3 - Some fax machines do
not correctly complete the required fax protocols, and therefore,
NetCFax has no way of knowing if the data was all sent, or even received
correctly. Therefore and quite reasonably it assumes the worst and
places the fax in the bad received drawer. This is exactly the
problem for which we have created the work around mentioned above.
What happens basically if
you make this following change to the NetCFax servers configuration file
is that if we know we have received at least one complete page, and the
sending fax system does not complete the protocol correctly, we will
assume the fax is valid, rather than assuming it is not.
Therefore these faxes will be saved to your received faxes drawer.
To change this default
behavior is however, very easy.
Go to the NetCFax
server Tools Menu, and Select the received faxes options.
Check the new option you
will find on the general tab to assume all partially received faxes of
one or more pages as successfully received.
Now restart the Fax
Server, and the received faxes that are one or more pages in length are
OK, and they will then go into the normal received faxes drawer.
Just click

SPECIAL NOTE FOR XP
INSTALLATIONS
if you have have installed the NetCFax server on an XP
machine that has SP1 or SP2 installed, and you have decided to install a
NetCFax client on the same machine (which you do not need to do), you
may sometimes find that the fax client does not appear to manage
to install the fax printer driver correctly.
Sadly, this is caused by the way that Windows XP with SP's installed
fails to handle some new registry entries correctly until it is
rebooted.
So, to overcome this easily, just reboot Windows itself, and then select
the Install Fax Printer option on the fax client again. This will
normally install the fax clients printer driver just fine.
SPECIAL NOTE FOR XP
Pro INSTALLATIONS that wish to use NetCFax on a system using the Windows
fast task switching feature of XP Pro (Windows Terminal Services)
|
NetCFax
v2.70 and Pro v 3.10 (and later) are now fully compatible
with XP PRO using multiple login accounts and the "fast task switching"
system
and also for use under the Windows Server based Remote Desktop Sessions.
|
The NetCFax SERVER
must be installed by a user with full Administrator rights on an XP
machine. It must also be run using a windows login account with
those same access rights, and if an attempt is made to start it using a
Windows login account that does not have the required Administrator
rights it will display a message and will not start.
However, the NetCFax
CLIENT is different, and although it must also be installed using
a Windows login a/c with full Administrator rights on an XP
machine, (including installing the printer driver), thereafter it can be
run using any windows login account (with restricted or administrator or
power user) access rights available on that machine.
The fax server and the fax
client may both be installed on an XP Pro box if required, and the fax
clients will be able to connect and use the services of the fax server
without problems.
NB - Multiple instances of
the fax client may be run on any XP Pro machine, but you cannot use the
same fax login accounts more than once at the same time.
How to overcome the
NetCFax client running under a Windows restricted access login account
not being able to print to the fax printer
This problem has been corrected wit the release of 2.65.8 and
Pro 3.00.8, but if you have an earlier release and notice that when you print from any
application to the NetCFax printer the normal printer icon appears in
the system tray, but nothing else happens, and it just sits there, you
have this problem..
Also, when you switch back
to a Windows login account that has full administrator rights, you will
often see one or possibly two error message boxes saying - "Unable
to get filename".
This has been found to be
due to issues caused by the Windows Terminal Services (WTS) which is
what is used by Windows XP Pro to provide the "Fast Task
Switching" (FTS) system, NetCFax release before 3.00.8 and
2.65.8 may well have problems printing to the fax clients fax printer
if the Windows login account did not have administrator rights.
It is however very easy
to correct this problem...
JUST UPGRADE YOUR SYSTEM TO THE LATEST RELEASE.
Installing
NetCFax on a Windows Server 2000 or 2003
If you just want to install the fax
server on such a system, OR you want to install the fax client on it and
then make
it available to all networked users via RDP (Remote Desktop) sessions, you
can do so very easily. We recommend from our own experience that you use
the benefits of the Windows Server environment to provide access for all
networked users via RDP sessions to a single fax client installation,
rather than installing the Fax Server on it, which can after all be run
on virtually any other Pc running Windows 98, ME, 2000 Pro and of course
XP with or without the various service packs.(SP1 or SP2)
INSTALLING
NETCFAX ON A WINDOWS SERVER OPERATING SYSTEM
You
CANNOT SAFELY install and run BOTH the NetCFax server and the Fax Client
on these systems, irrespective of whether it is going to be accessed directly on
the machine or via one or more RDP sessions. Doing this has been shown
to cause various problems with the fax server not sending faxes out when
due and the fax counts being incorrect.
If you
decide to only install the Fax Server on the Windows server machine, you
can start/run it either directly on the machine, or in an RDP session if
that proves easier for you.
If however,
you decide to use the Windows Server to host the Fax client (rather than
the fax server) to take advantage of having all your networked users run
the same client installation using multiple RDP sessions, that is also
just fine, providing the Fax server is not also running on that machine.
ON ALL
OTHER VERSIONS Of WINDOWS YOU CAN INSTALL BOTH THE FAX SERVER AND THE
FAX CLIENT ON THE SAME MACHINE WITHOUT ANY PROBLEMS, INCLUDING ON XP
SYSTEMS THAT ARE PROVIDING FTS.
You must be using a Windows login account that has administrator
rights to install either the fax Server or the Fax Client, and the fax
server can only ever be started or run by that same Windows account. The fax client however, once installed, is freely
available to all RDP sessions irrespective of the Windows login rights, and each
RDP Session will use their own personal fax
client configuration based on the NetCFax login account they use to
connect to the fax server.

provide on the configuration of this to ensure the clients are able to
use the special "NetCFax Remote Desktop Printer", or visit
this page.
Running the
NetCFax Server under a Windows Server 2000 or 2003 environment
This is very easy to do, and works
very well, but perhaps you have come here because you know you had some
faxes in the fax cabinet, but you have restarted the Fax Server only to
find they all appear to have disappeared. If this is the case, then you
have fallen into what is called the "Windows Server Trap".
To recover your faxes is
very simple indeed. Just close the fax server down, and then login
in to the Windows Server using the original account that was used to
install it. This will have most often have been been the
default "Administrator" account. Then start the
"NetCFax server" and your faxes will re-appear, as if by magic
!!!!
Why does this happen you may
ask - The answer is very simple.
Windows Server systems do
not use the standard WINDOWS\SYSTEM32 folder for the data that is
normally stored in that location, so if you do not use the same Windows
Login Account when you try to start the Fax Server, it cannot find it's
database files or the fax engine, as they are "hidden" in a
special user oriented version of this most important folder.
You can login on the machine
itself, or use an RDP session if you prefer, but you must ensure that
you use the original Windows Login Account used when you installed the
Fax Server to login to the Windows Server itself.

Winfax
or another fax system was installed on the machine we have installed
the NetCFax server on before, and we cannot seem to get NetCFax to work
correctly.
This is because other fax
systems quite often install modem drivers and even change some of the
Windows DLL's. Before you can use NetCFax, you need to ENSURE that
any other previous Fax system that may have done this has been FULLY
uninstalled. PLEASE NOTE - We are sorry, but we cannot advise on what you may
need to do if the uninstall systems provided with these products do not remove
the products fully,
and you may need to contact the developers of those packages for further
assistance.
We can report that the Winfax
uninstall (in particular) quite often (but not always) does not appear to fully uninstall
the product. Customer feedback after this problem
has shown that until it has been fully removed, NetCFax may well have
various problems caused by this, but afterwards, NetCFax worked just
fine.
QUITE OBVIOUSLY, WE CANNOT
ADVISE YOU HOW TO REMOVE WINFAX OR ANY OTHER FAX SYSTEM CORRECTLY as these other systems are not our
software. Please contact the software developers of
any such packages for assistance with this.
When we send some faxes
out that have been created using the NetCFax printer to create a fax
file, the recipients often tell us that the text is all
"broken" and feint and hard to read.
The reason for this is
usually very simple. Microsoft introduced a very basic font years
ago name "Courier", and even printing it from the applications
that use it often results in poor printed pages and broken letters.
To resolve this problem,
do NOT USE the COURIER font in any documents that you intend to fax.
Most applications today let you select the font to be used, so we
suggest you use Arial or Verdana or possibly Times Roman.
When we try to send a
fax to the printer or the fax server tries to auto print a received fax,
the fax server crashes to the desktop.
This is a really
"obtuse" problem that we have seen before. The actual reason for
it can often be very simple. Sadly, Microsoft do not check the
printer names you enter, and if you accidentally put a LEADING SPACE in
the printer name, NetCFax is quite likely to crash to the desktop as it
is not a legal printer name.
To resolve this problem,
check your printer names and ensure you do NOT HAVE A LEADING SPACE in
any of them.

How
does the licensing system work in NetCFax
What
is the recommended hardware/software platform for the NetCFax server
Do we have to install the
NetCFax server on a Windows "Server" version of the Windows operating system ?
ABSOLUTELY
NOT - The NetCFax server will run happily on any W98, ME, 2000, XP
machine. We even support Windows 2003 server, and of course it works
just fine on Windows XP with SP1 or SP2 installed as well.
We
seem to be having problems receiving faxes ?
We
have a large number of faxes in one or more drawers of our system (>
10,000), and the clients are unable to list them, as it always reports
that there are no faxes available ?
We
would like to be able to view our faxes as a strip of thumbnails so that
we can see each page easily. Can this be done in NetCFax ?
We
are trying to install the fax printer driver but it doesn't seem able to
install it correctly. ?
We
use PDF files extensively, and want to be able to send these as faxes
quickly and easily. Can NetCFax do this for us?
We
notice that all of our fax clients are being notified of all sent
faxes. Can this be stopped ?
When
the server is started, can it be iconized to the system tray
automatically ?
We
would like to be able to have all received faxes emailed to different

The NetCFax server
doesn't seem able to find my modem
To identify what modems are
available, NetCFax requests a list of installed modems from Windows
itself. Only once it has this list does NetCFax then interrogate
each listed modem to check if it supports fax operations.
If you have any of the
"special" multi fax cards or similar internal or external
devices that support fax operations, all that is needed is for them to be
listed in the Windows Control panel, modems list, and of course, assigned
to a "port". If they do not appear in that list, the
NetCFax system may not be able to identify them.
If these devices require some
form of special support from any communications product such as NetCFax,
it is quite likely that they will not work with NetCFax.
If you have installed a new
modem recently, and NetCFax is not listing it, despite running the
"Rescan for modems" option, it may be that you have not yet
connected to anything with the modem. This is a well known WINDOWS
BUG, not a NetCFax problem. To ensure that Windows will list your
new modem correctly when requested, you MUST CONNECT to a remote phone
of some form (it doesn't actually matter what it is), and then you
must restart Windows.

We
have found that NetCFax is not logging the sent and failed

YES, the reason is very
simple, and the work around. The defaults for faxes sent does not
default to enabled in all areas of the code. Just go to the
Sent/Failed faxes options and uncheck, then recheck these options, and
then click the OK button, and these faxes will then be logged correctly.

This is probably due to the fact that your Windows Server 2003's default security
settings are not set to allow the Fax printer driver to install correctly as support
for Kernel Mode Drivers is disallowed.

To enable support for Kernel Mode Drivers:
Open Group Policy ( Start->Run: gpedit.msc ]
Under Local Computer Policy, double-click Computer Configuration.
Double-click Administrative Templates, and then double-click Printers.
Right-click "Disallow installation of printers using kernel mode drivers",
and then click Properties.
On the Setting tab, click DISABLED, and then click OK.
Now go through the the W23K printer install process again, and the required
Datatech fax port entry will be there for you to select.

Is there an API for the NetCFax server
to allow us to "fax enable"
our own applications. ?
YES, it
is in the
current 2..61 and later releases.
With the release of 2.61 there is a built-in API that allows
you to send faxes, get totals of faxes held on the NetCFax server, list
all Fax ID's in any Cabinet drawer, delete faxes, and even download the
fax files themselves.
This API is TCP based, which
allows your own applications to be running anywhere on the network, as
long as they are able to make a TCP connection to the
NetCFax server. The API provides all of the TCP communications
required so you do not have to write any code to do this.

Do we
need to install
the NetCFax server on a "Windows Server" machine, or will it
work on any PC ?
NO, why ever should you
? You can run the NetCFax server, and the fax clients in the
background on any normal Window's PC, even if it is being used to
do other stuff as well. They will run on any of W98/ME/2000/XP
and W23k Server.
All that you will need on
the PC that runs your NetCFax server is one or more fax modems, and a
network connection (that uses the default Windows TCP networking) to
allow the NetCFax clients to connect to it.

We
seem to be having problems receiving faxes ?
This may occur If you have a
CLASS 2.0 modem, but the problem does not occur with Class 1
modems. We're working on a fix for this problem, and that will be
in the 2.65.4 and 3.00.4 releases, expected to ship in early
September.
In the meantime, if you can
obtain a Class 1 modem, the problem will not occur.

We
notice that all of our fax clients are being notified of all
sent faxes. Can this be stopped ?
Sure, its very easy...
By design, NetCFax
broadcast this notification to all fax clients (if it is enabled) but
ONLY the clients who own the fax will display the notification if they
have Individual login rights. however, if any client login account has
administrator rights, then quite naturally, it is likely that they will
WANT to see these notifications. However, there is an option on
the Tools menu - Sending and Failed fax options, to disable these
notifications on a client by client basis.
Of course, the correct way
to do this is to NOT give all client login accounts Administrator
rights, which they probably do not need anyway. If you want them
to access received faxes, you can assign that right in the login account
setup system very easily.

use the server based address books feature a lot with our fax

send our emails to the fax using Outlook ?
Its very easy.
We suggest you look at the Manual that is provided (under the Help menu)
with NetCFax as this covers this ( potentially complex ) area in great detail.
NetCFax provides both an SMTP server and automatic POP3 collections to allow you to do this as easily as
possible.

Our network will be
using a Windows "Server" machine as the Fax server host, but we don't want to
allow network users to access to any of the folders on that machine. Can that be
done with NetCFax ?
Absolutely......
For this, and
many other good reasons, NetCFax has been designed so that all connections between the fax clients and
the fax server use the Internet standard TCP protocol. This means you
do not need to set up any network shares or user permissions to use
NetCFax on your network. You can of course specify the TCP port to be used
for these communications if you cannot or do not want to use the default
port (TCP 7488).
Another benefit of this
design is
that, assuming you have one or more NetCFax servers accessible across the Internet, you can use a
client to connect to that/those server(s) from anywhere in the world,
providing you have some form of internet connection. This allows you to both send faxes and access
received faxes in exactly the same way as if you were still sitting at
your desk on the office network.

We are
just testing NetCFax
2.60, and the clients seem to take a pretty long time to login to the
fax server, and to download the information they want from the server ?
This is fixed in the 2.61
release, which now stores the IP address once
obtained, and uses that for all further connections.
This is very easy one to
overcome. The problem is likely to be because you have specified a
machine name in the list of servers available to the clients for them to
connect to, but your network very probably does not have any DNS server or
name resolution system. Most Windows systems do not come with a
name resolution system installed, and are therefore very slow at
performing this important task..
NetCFax provides the name of
the server machine by default, rather than the IP address, because a
name is more meaningful to most network users than an IP address.
To overcome this problem
very quickly and easily, simply delete the machine name entry in the fax
clients list, and replace it with the actual IP address of the NetCFax
server(s) IP address(s).
You will find that client
Logins and all other connections between the clients and the servers
will improve dramatically.

We get quite a lot of
faxes coming in, and want to be able to distribute them electronically
(by email) to the intended recipients. Can NetCFax do this. ?
Yes, or rather, you can configure
NetCFax to help you to do this
IMPORTANT - Please be
aware that
no computerized fax system
can actually identify an email address (or any other recipient name information) in a received fax, as
you have to remember that any fax is nothing more than a (potentially
large) TIF
image file, as it is not possible (even with current OCR technology) to
extract that information from the fax. There are no standard for fax
cover page layouts, or even any rule saying there has to be a cover page
with it, and of course, they can even be handwritten, so the chances of
any OCR system correctly identifying the correct recipient is
exceedingly small to non existent.
However, on the received faxes tab of
the Fax Cabinet viewer Property sheet there is a "Send Email"
button that allows you to email any listed fax to any email address you
wish to send it to.
The message created uses the
recipient details you provide, and sends the fax with this message as a
standard email attachment. The industry standard SMTP protocol is of
course used to actually send the mail, so you must ensure that the fax
server is able to connect to the server you specify using SMTP.
This is normally on port 25, but you can specify a different port if the
server you are sending it to does not use port 25.
There is also a
configuration option that lets you have NetCFax send all received faxes
to a specified email address totally automatically.
NetCFax also provides
automatic printing of all received faxes if required, and this can even
be configured to print them to different printers depending on the phone
line on which they are received, by using the departments system that is
built in to NetCFax.

We seem
to sometimes
have problems sending faxes, and cannot seem to find out what the
problem is ?
The solution is normally quite easy. NetCFax
is designed to meet modern telephony standards, and it does therefore expect
to be using a "reasonably modern" fax modem
to connect to.
It has
been shown in testing that fairly old and out of date modems, and the very cheap modems such as the
so called "Win Modem"
(software driven) series that are often built in to PC's from Dell,
Gateway etc do not work well with NetCFax, or indeed many other computer fax
systems.
We strongly recommend that you invest
the small amount they cost to obtain a
reasonable (full hardware) modem for use with computerized faxing
systems such as NetCFax. These may be external or internal, and
even most of the specialized multi-modem fax cards are supported
as well..

We understand that it
is possible for a NetCFax client to connect to and use a NetCFax
server to send a fax, or check for faxes waiting, while working across
the Internet. How can this be done with NetCFax. ?
Very simple really.
There are only three main
things that are required.
1 - The Windows PC that the
NetCFax server is running on must be accessible to the Internet, either
directly, or via a router, firewall or proxy server. By default,
the server only requires that TCP port 7488 is open for both inbound and
outbound connections.
Naturally, either the client
must know the external IP address of that PC, or there must be a
public DNS entry that can be used for access to the server. (such as faxserver1.mydomain.com)
2 - The client only needs a
standard internet connection, which can even be via a dial up,
a working and configured NetCFax client installation, and to know the machine name or IP address of the Fax
server machine they want to connect to.
3 - If the server is not
already added to the list of available servers in the client
configuration, you can add it, and then connect and login in the normal way,
just as if you were sitting in your office.
NOW YOU CAN CHECK YOUR
FAXES, SEND NEW FAXES OR DO ANYTHING ELSE YOU WISH TO DO, even though
you may be connected to a NetCFax server THAT MAY EVEN BE LOCATED
SOMEWHERE ON A DIFFERENT

Is it true that NetCFax
can actually send faxable files as email attachments?
Yes, NetCFax has a unique
feature that lets you print from ANY APPLICATION at all using that
applications Print option to print the data to the NetCFax printer, and
then, when the fax data file has been created and the "Save as file name" window pops up, you can
click the "Email" button to send that faxable file as an
ordinary email attachment to whoever you wish to send it, simply by
entering the relevant email details into the special "Send
email" window that is displayed and then pressing "Send".

We are getting crashes
when we try to print from the cover page viewer window ?
This is caused by a small bug that has
been identified in v2.50, but is now fixed in v2.60 and later releases, in the printer selection system in
NetCFax.
However, to overcome this problem in v2.50 quickly and easily, all you need to do
is to go to the Printing menu, select the "Set default
printer" option, and once you have selected the printer you want
NetCFax to use, click the OK button. NetCFax will then have the
printer details it needs and will no longer crash when trying to
print.;-))

We have just installed
NetCFax on our W23K server machine, but we cannot seem to get the
printer driver installation to work from the Printing menu - Install
Printer option ?
Yes, this is a known
problem, and the reason for it is quite simple.
For some reason, Microsoft
have chosen to change the way that printers drivers can be installed
on W23K systems, and they must now be what are called
"user mode" drivers. Unfortunately, These have to be
installed manually via the Control Panel - Printers - Add new printer
system, rather than just letting us handle it for you.
The new v2.60 and v2.61 releases includes these new printer drivers.
Unfortunately, v2.50 of NetCFax did not ship with the W23K printer
files, but we have made them available in a FREE ZIP file on our
downloads page. The ZIP contains detailed instructions on how to
install the printer driver in the file "install_instructions.txt"
that is included in the ZIP. Just read the file and follow those
instructions carefully and the NetCFax printer driver will install
correctly.

How can
we create our
own fax cover pages ?
A cover page editor is not (yet) provided
with NetCFax..
There are however two ways to overcome this
minor problem.
The first is to use the Fax cover sheet
editor that was shipped with W98 installations
that
creates .CPE files. NB the later cover page editor that creates .COV cover
pages cannot be used). This can be used to create your own cover pages that
can be used by NetCFax without any real problems.
If you do not have this, you can download
a ZIP file (396KB) containing all of the files required for this
cover page editor from the Downloads page of this web site It is
called W98CoverEditor.zip.
All you then need to do is to create a
new folder for it somewhere, unzip it into that folder, and then run
FAXCOVER.EXE and you can start creating your own cover pages. In
our own experience, This editor can be run on most versions of Windows,
but please note that as this editor is provided free as a part of the
Microsoft .Window operating system, we do not offer any form of support
on it's use or installation on your own system(s).
If you use the W98 Cover page editor
to create your own cover pages, you will need to save these files
as shown below.
The standard NetCFax cover page files are named as
follows :-

cpinformation.pg
cpconfidential.pg
cpurgent.pg
As the names suggest, these are the files
for normal, information, confidential and urgent fax cover pages
provided with the system. You should NOT replace (overwrite) any of these
with your own cover page files, but you MUST use the same names, and
retain the default .CPE file suffix eg:
cpnormal.cpe
cpinformation.cpe
cpconfidential.cpe
cpurgent.cpe
You will need to save your CPE style cover pages to the \windows\system
folderfor W95/98 and ME systems (or SYSTEM32 on NT based systems such as
NT, W2K,w2003 and XP),
With the release of 2.61.0.15 and
later releases, NetCFax will always look for and use the .CPE version of
the cover page file if one is there. If not, it wil use our
standard .pg cover page.
Please note that if you do create and use
your own cover pages, the Cover page viewers built in to NetCFax
will still show display them in the standard NetCFax cover page
layout, but when sent, you own cover page will be used.
The second is to use Microsoft Word or a similar word processing package to create
your own cover pages templates, and then simply fill out and add these
to the front of the document(s) you want to fax, and once you are
ready, print the entire document, with your own cover page, to the
NetCFax printer. Finally select NO COVER PAGE on the first fax creation
window. You can even save the cover pages as .DOT files on a
shared network drive for easy access by everyone.

We are having auto fax printing problems with the NetCFax server running
under Windows 98.
Actually, this is not a
problem with NetCFax, it is
a bug in the Window's 98 print spooler that is documented by
Microsoft. Sadly it is unable to handle multiple document spooling
correctly.
However, there is a way to update your W98 machine to the latest, and
correctly working spooler system.
First, you need to download
a ZIP file containing the updated spooler (which came with Windows
Millennium actually). Then follow the instructions below :-
1 - Unzip the file to a folder that you
can find later using the windows file open dialog.
2 - Go to the Start menu
3 - Select Programs / accessories / System tools / system information
4 - On the menu of the window that opens select tools / system file
checker.
5 - On the window that opens there is an option to extract a single
file.
Select that option and use the Browse button, navigate to the
WINDOWS\SYSTEM folder and select the file Spoolss.dll that you
will find in there.
6 - Next it will ask you where to find the file to update this with. and
this must be the file that you unzipped in step 1. DO NOT
let it search the install CAB files or you will get the old one
installed again !!!!
7 - It will replace the file for you, and then tell you to reboot.
Now your print spooler will work
correctly again. !!.
Please note that as this is a Microsoft
Windows patch, we cannot offer support on its installation or use.

When sending faxes by email, NetCFax
sometimes cannot connect to the SMTP server, although you can telnet to
it just fine. ?
This is due to a small bug in the NetCFax
SMTP code that has been corrected in the 2.61 release. For
various reasons, the email servers are quite often not available at the
normal IP address that we perform a lookup on. It is actually
necessary to perform a full DNS enquiry for a list of available MX
servers, and then try to connect to these.

Yes, in v2.61 there are 2
different options to let you do this. The first is to configure
the login details you want use d in the fax client itself, the other to
use parameters on your startup command line/shortcut.

Absolutely not, why ever
would you need to ?
NetCFax handles all Fax-to-Email and Email-to-Fax itself, including
sending via SMTP and it handles MX lookups as well.

When
we receive faxes, they sometimes appear to be "garbled" ?
There are two possible
reasons for this.
The most obvious, and
easiest to correct, is because the modem you are using is what is called a software
modem. These typically have a name similar to "Win
modem" and are most often provided by the manufacturer fitted in
the Pc when you purchase it.
Most computerized fax
systems need a reasonable, and therefore "real" hardware modem
that does all the processing with it's own chipsets, and therefore
doesn't have to keep using the Windows processor, which is what causes
these sorts of problems.
If you are using a
"decent" fax modem, you need to check the modem INIT string you are using in the modem configuration window.
You
need to ensure (from your modem documentation) that flow control
is set to hardware flow control. This is usually
achieved by adding the modem command &H1 to your init string, but
THIS MAY BE DIFFERENT for your modem so check your modem documentation
to be sure.
YOU CANNOT JUST TRY ANY OLD INIT STRING
IT MUST BE THE CORRECT ONE FOR YOUR MODEM
You should also keep in mind that
it is always possible that some faxes may be received garbled
as
no error correction is used with faxes, so line noise and other
factors can sometimes cause all or part of the received data to be
corrupted. Obviously this should not occur in a large percentage of faxes
unless there is a problem with your phone or modem. or you have really noisy lines.

We
receive quite a lot of spam faxes. Does NetCFax have any type
of anti spam system ?
Yes, of course it does.
Their is an option on the
Server's Tools menu to maintain your spam filters. This allows you
to create a list of all the sender's remote ID names that you have
identified and that send you unwanted faxes. You simply enter them
into this list and enable the anti spam system.
There is also an option on
this window to have NetCFax treat all faxes that are received with EMPTY
sender's ID's as spam faxes as well.

We
want all our network users to be able to send faxes and view them,
but we don't want them to be able to access or view other peoples faxes.
Is this possible with NetCFax ?
Yes, absolutely, we wouldn't
accept anything else from any fax (or email) system.
NetCFax automatically stores
the login name of the account that creates a fax in all of the
faxes. If a login account is only given the standard
"Individual access" rights they are only ever able to see
faxes they have created and sent. Of course, login accounts can be
given other access rights as well, and the standard
"Administrator" account allows access to all faxes for all
users, and to all of the faxes that have been received.

We
only want one person on our network to be able to access all the
faxes that have been received, so that only person reads them and they
can then distribute them to the correct end recipients. Is this
possible with NetCFax ?
Yes, very easily indeed.
If all your login accounts are only given the standard
"Individual access" rights they will only be able to
see faxes they have created and sent.
However, because you can
create your own access groups in NetCFax (providing you have a server
licensed for 5 or more users) you can add the right to access received
faxes to just one (or more) of your login accounts.

We
would like all received faxes to be printed out automatically.
Is this possible with NetCFax ?
Yes, very easily.
You just go the Tools -
Received faxes option and check the option there to have them
printed. They will then be printed on the default printer you have
configured in NetCFax to handle standard printing tasks (see the
printing menu)
If you have configured any
departments, you can then specify different printers are used for faxes
that are received on different phone lines as well.
WARNING, if you are running
NetCFax 2.61.0.0 and your received faxes are not being printed despite
having the option to do so enabled, it is possibly because you have that
port/phone line assigned to a department, but NO PRINTER IS DEFINED for
that department. In 2.61.0.1 this has been changed so that
they will still be printed, but to the default NetCFax printer instead.

Is
there any way to have all networked fax clients notified when faxes
are received by the NetCFax server?
Yes, of course.
There is an option on the
Received faxes option window of the fax server to broadcast a notification to all fax
clients whenever a fax is received.
The Fax clients can
disable this option if they do not wish to received such notifications.
When a fax is received, the
server sends out a broadcast message across your network. All fax clients will receive these messages. In fact they will still do so
even if they are not logged into a fax server at the time. Clients
that are logged in but do not have received fax access will NOT receive
these notifications.
A small flashing fax icon
will appear on the system tray, and when clicked will display a list of
all the faxes received since it was last opened. You can even view
the faxes directly from this window if you are logged in, and have
access rights to view received faxes.

We
just want to be able to quickly create a fax immediately it has been
printed to the fax printer, but it seems that we have to go through the
file name entry window each time ?
You really don't need to do
that if you don't want to, but it is the default setting.
You can configure NetCFax to
bypass this and open the fax creation window immediately. Just go to the
Printing menu and select "fax printer options".
This allows you to select
the way NetCFax handles newly created faxable files. Just select the
"always go directly to the 'send fax now' window" option and
the window to enter a meaningful name for that document will no longer
be displayed.

We
want to be able to back up the system to one of our main file
servers for additional security, Is there any option in NetCFax to let
us do this easily ?
Yes, of course. Just
go to the File menu of the server, and you will find a BACKUP option
that lets you select any machine/folder you wish. NetCFax will
even do the backup of virtually all of the faxes themselves, the
server's current configuration settings and the control databases used
to access faxes for you.
To let you restore a server
to a previous condition, there is also a restore option on the same menu
to let you restore the server to the settings and data it had from any
previous backup. WARNING, the restore WILL completely overwrite
the current settings and data, so you should always back it up to a
different location BEFORE restoring it from a backup.

We
only want the fax system to be available in normal working hours,
and not at weekends. Can NetCFax be configured to do this ?
Yes, of course it can.
If you go to the Modems menu
on the server, you will find an option to "Schedule modems
availability times". This window lets you select the days,
and the times between which the server will send faxes out and receive
them.
These scheduler settings are
global, which means that they apply to ALL OF THE ACCESSIBLE
MODEMS. There is no way (currently) to let you disable one modem
and leave another working, so you cannot for example leave one set to
receive only and disable the modems used for sending. This may be
added in future releases however.

necessary is for the NetCFax server(s) to be installed on machines that
are accessible across the Internet. This can be simply by
using their external (internet) IP addresses, but if they also have public DNS
resolution, then the machine names can be used, such as FAX-NY or FAX_MI
or whatever public name you assign to them. It
is not possible for NetcFax to automatically search the Internet
for other available ( external ) servers. But, once
you start the fax client, you can manually add other available NetCFax
servers from the Tools - configure available fax servers option.
Just enter the address or machine name and click test. As long as
the client has an internet connection, and the remote NetCFax server is
running, a connection will be made across the Internet and the
client can then work with that server exactly as if it was on your local
network. You simply login to that remote server
and use the client in the normal way,
creating faxes or whatever, but when you send the fax (remember - they
always go to the fax server) they are actually being sent physically
across the internet, to
that remote NetCFax server. The remote fax server will then send
the fax, and if the destination number for that fax is in the local call
area for that server, you will have saved a significant cost over making
a toll call to send it from your own offices.

We
have added international codes in our address book, but the faxes
are not being sent out ?
The only reason this
can occur is if you have chosen to prefix these numbers with a + before
the dialing code. eg :+1 727 392 3216 to fax NetCPlus.
The + sign is after all not
a part of any standard dialing system, and you cannot and do not enter
these when you are making a voice call either, so you should not assume
that a computer based fax system such as NetCFax will either.
To fix the problem quickly
and easily, just remove all + prefixes in your address books and
just leave the international codes eg: 1 727 392 3216 for US toll calls. These will
be sent without any problems.
HINT - You can also add
standard dialing control numbers to the fax # list, such as 9, to obtain
an outside line if required, but please remember that it is ONLY the fax
server that makes these calls, and it is possible that it may not need
to use these. Check with your network administrator before adding
these !

We
are trying to install the fax printer driver but it doesn't seem
able to install it correctly. ?
This is a known problem on
some PC's only.
To fix the problem all you need to do is download the MAINTENANCE UPGRADE SYSTEM. This contains only a few files
that need to be replaced on the server and client installations and
these should then install the fax printer drivers correctly.

page right now.

We
don't seem able to create an mail list of recipients for received
faxes, as nothing happens when we click the "list" button. ?
This is because you have
selected to use the standard Windows editor instead of our own
viewer/editor. to overcome this, either go to the file menu - and
select server options and switch this back, or go to our downloads page
and download the service upgrade to 2.61.00.01 that contains a fix for
this and some other issues.
There is also a full
2.61.00.01 upgrade system available if you prefer to use a full upgrade
system.
