This lists the major NetCFax features,
broken down first by the server features and then the client, and into functionality
groups within those areas.
PLEASE NOTE - It is not
designed as a totally exhaustive list of all the functionality provided by
the different versions of NetCFax, but it does provide a reasonable comparison list
showing which of the
major features are accessible in each of the different versions we
offer, letting you decide which system will best fit your own
business faxing requirements.

Server -
Overview
|
|
|
|
Pro & PRO+ ONLY
With
the release of NetCFax Pro v3.16 and PRO+ v3.60 ONLY (January 1,
2007 & later) The Fax Server can now be run as either a Windows Service
or a
standard Desktop Application. |
|
|
 |
| Very
easy to
install and configure |
 |
 |
 |
| Well
designed and powerful interface to the server to allow administrators easy
access to the servers configuration. |
 |
 |
 |
| Full
support for both single or multiple fax servers on the same
network or even external networks (accessed via the Internet). |
 |
 |
 |
| Full
support is provided for running under Windows XP with Fast Task Switching
enabled plus full
support for running under Windows Server 2000 or 2003 running
Remote Desktop Sessions. (NB You cannot
run the Fax Server AND the Fax Client(s) on the same Windows
Server machine at this time if it is providing fax client access
via RDP sessions) |
 |
 |
 |
| Easy
access to all faxes held by the server is provided by the Fax
Server Faxes Cabinet. The server's
fax cabinet window lets you view and manage all faxes held by the server. |
 |
 |
 |
| Full and
comprehensive logging of all server activity is performed
automatically. |
 |
 |
 |
| A
Fax
printer driver is provided to allow printing from virtually all
other applications to create faxable TIF files that may
be attached to any fax. |
 |
 |
 |
| You
can have the Fax Server and a fax client installed on the same
PC if you wish. |
 |
 |
 |
| You
can have more than one NetCFax Server installed on your network if required,
providing that they are each on a different PC. Each
server must of course be licensed separately. |
 |
 |
 |
| The Faxes
database and all faxable files in the server system can be
backed up and restored at any time to provide additional
security. |
 |
 |
 |
| The
Fax server's complete configuration system can be backed up, and
restored, quickly and easily to allow rapid reconfiguration
after a hard disk problem or similar issue that requires Windows
to be reinstalled. |
 |
 |
 |
| Fully
detailed transmission reports are maintained by the server for
all faxes sent and received. |
 |
 |
 |
| The
fax server controls all access by clients, and consequently also
the licensing of the NetCFax system. The server will ONLY
allow the relevant number of access accounts to connect to it as
your license permits. |
 |
 |
 |
| The
fax server alone stores ALL OF THE faxes in the system.
Fax clients do not store faxes locally, other than temporarily
to view or print them out. |
 |
 |
 |
| The
fax server has a recovery option that lets you reset its basic
configuration back to the original defaults, and/or to clear all
user access accounts, including user access groups and
departments, and/or to remove (clear down) ALL of the current
faxes in the system entirely. |
 |
 |
 |
| The
fax server has an automatic closedown and restart option that lets you
close it down for a specified period of time to allow overnight
backups or other maintenance to take place without effecting the
fax servers normal operations. Once the specified period has
expired, the Fax server is automatically restarted as a desktop
application or Windows Service as appropriate. |

 |
FORWARDING/COPYING
Comprehensive
support
for automatically sending received faxes to specified recipients by email
based on various different parameters such as COM port or CSID
is fully supported in Pro & PRO+
MOBILE USERS - Received faxes can
be sent to a single or even multiple email addresses, allowing
you to have every fax received by NetCFax forward as either a
normal fax (TIF) file or even as a PDF to both your normal email
system and your mobile/handheld email device, so you never need
to miss any incoming faxes, even if you are out of the office. |
|
 |
 |
Pro & PRO+ ONLY
AUTO EMAIL FORWARDING
ON CSID - Received
faxes can now be sent to different email addresses based on the
CSID (remote fax ID) that has sent it. Any faxes received
whose CSID is not specified in this system are sent to the
default email recipient(s) (if configured)
To allow you to have all faxes forwarded by email you can use a
string of 6 asterisks (******) which forces a match to ANY CSID.
|
|
|
|
Pro & PRO+ ONLY
Routing of Received faxes -
The fax server can control whether any fax clients with full received fax
access rights are allowed to use the received faxes routing
system.
|
|
|
|
| Pro & PRO+ ONLY
AUTO EMAIL FORWARDING
ON COM PORT - All
received faxes can now be forwarded by email to a specified
recipient based totally on the phone line (COM port) it
was received on. This option, if enabled, will override
all other received fax email notifications.
|
|
|
|
Pro & PRO+ ONLY
AUTO FAX FORWARDING
ON CSID- Received
faxes can now be forwarded to another specified fax number based on the
CSID (remote fax ID) that has sent it. Only faxes received
whose CSID are specified in this system are forwarded on
by fax.
This feature can be used in addition to the email forwarding of
faxes received as shown above.
|
|
|
|
| Pro & PRO+ ONLY
MANUAL
FORWARDING RECEIVED FAXES (by fax) - All
received faxes can be forwarded manually at any time from the context menu options
provided in the fax cabinet of the fax
server.
|
|
|
|
| Pro & PRO+ ONLY
v3.00
ONLY
- COMMENTING RECEIVED
FAXES - The fax
server can now add a short
"comment" to any received fax. This allows a short
note about the content or recipient of that fax to be added for
easy identification at a later time. This comment is
limited to 500 characters.
|
 |
 |
 |
| Pro & PRO+ ONLY
v3.00
ONLY
- RECEIVED FAXES OPTIONS - All of the received faxes
options are grouped together on a single Property
sheet to make accessing and checking them very much
easier. This is accessed from a single option on the Tools
menu,
|
|
|
|
| Pro & PRO+ ONLY
ASSIGNING
RECEIVED FAXES TO INDIVIDUALS/GROUPS (by CSID) - All
received faxes can be ASSIGNED TO INDIVIDUALS OR GROUPS
automatically by the fax server, based on a check of the senders
fax CSID.
|
|
|
|
Pro & PRO+ ONLY
JUNK FAX FILTERS - Faster handling for "junk" RECEIVED faxes
To
make this as effective as possible, there is an option on the
Junk Fax filtering system to have the server check for matches
immediately it receives the remote sender's CSID (station
identity), (which is during the initial dialing protocol).
If a match is made, the server will immediately disconnect the
remote fax system without even accepting the fax.
By design, this does not notify the remote sender, it simply
disconnects the NetCFax modem, which is "hopefully"
even more annoying to the sender as they will not know why they
were not able to send their unsolicited garbage to you, so will
probably waste more of their time performing further and still
futile resends.
|
|
|
|
| Pro & PRO+ ONLY
JUNK FAX FILTERS - To allow anyone that can view
received faxes to quickly and easily add the remote sender's
CLSID to the junk fax filters list on the fax server, there is a
new option on the context menus that lets you add these to fax
server list automatically.
|
|
|
|
Pro & PRO+ ONLY
Auto
creation of PDF copies of received faxes
The Received faxes system can be configured to always create
a PDF copy of all faxes received. These are stored in a folder
decided by the fax administrator, which can be a shared folder
on a network server if required.
|
|
|
|
PRO+ ONLY - REAL TIME UPDATE
The Received faxes cabinet is now updated in real time when
new faxes arrive
|
|
|
|
PRO+ ONLY - REAL TIME UPDATE
The Received faxes cabinet is now updated in real time when
fax clients make changes or additions to the comments in a fax.
|
|
|
|
PRO+ ONLY - REAL TIME UPDATE
The Received faxes cabinet is now updated in real time when a
fax client marks a fax as Seen or Unseen
|
|
|
|
PRO+ ONLY - OCR SCANNING
The Fax server provides support for OCR scanning of all new
faxes as they arrive.
This is done using the Transym TOCR OCR system, which needs to
be licensed separately.
|
|
|
|
PRO+ ONLY - OCR SCANNING
The Fax server can also provide OCR
scanning of received faxes for any fax client on request.
Once the server has performed the scan, the client is offered a
copy of the OCR text file to view.
|
|
|
|
PRO+ ONLY - BANNER OVERPRINTING
The Fax server now has an option that lets you create a special
"banner" line that can contain various data from the
fax itself by entering simple MACROS into the text in your
banner.
This works for both incoming
and outgoing faxes, and if enabled, the fax server will
automatically overprint this banner at the top or bottom of the
faxes.

AUTOMATING
COVER PAGE CONTENTS
Cover
page (content) templates can be created on, and stored by the
server, and these server templates are then made available to
all clients if requested. (Clients cannot change the templates
owned by the server) |
 |
 |
 |
Pro & PRO+ ONLY
SENDING OF FAXES - All outgoing faxes (that are not
just cover page faxes) are named with a more understandable
fax file name. This system uses any/all of the fax senders name,
the recipient
fax # and the fax recipients name (in that sequence), and
then combines these (providing at least one or more is
available) into a file name, replacing all spaces with dashes (
- ), and separating each field of data with an under bar ( _
).
eg: sales-dept_+1-998-234-4851_prospective_purchaser.tif
As can be seen by the above example, this helps you to rapidly
identify a fax by the faxable file name alone.
|
|
|
|
Pro & PRO+ ONLY
DIALING RULES
To allow you to create dialing rules to avoid
all users having to know which calls require a long distance
(toll call) code, or are extended area codes etc, NetCFax Pro
now provides a powerful dialing rules system. (US style 7, 10 or
11 digit numbers only)
|
|
|
|
Pro & PRO+ ONLY
FAX PREVIEW
To allow you to check the attached pages of a
fax before you send it , the fax server has a Preview button
that displays all attached pages as thumbnails in a resizable
window directly from the main fax creation window.

 |
CLIENT'S
ADDRESS BOOKS
The fax
server can store personal address books for the clients.
The fax
server can then provide the correct personal address book
to the client whenever a login is made. This means that no
matter what client system you log in to, you can have your own
personal address book available to you. |

enable this option, the faxable TIF file created by the fax
printer is simply saved to your specified printer files folder
without any prompt being displayed, using the default file name
the Fax Server provides. |

The
Email-2-Fax gateway system will accept email messages that
are sent to it in fully BASE64 encoded format. This format
is often (& mostly accidentally) used by email clients such
as Outlook Express. NetCFax
will now try to identify such messages, and decode them
automatically, and then try to process the email contents in the
usual way to create an outgoing fax from the contents. |
 |
 |
 |
| A full
Email-to-Fax gateway system is provided with both an SMTP
server and/or automatic collection from any specified POP3
mailbox to allow emails to be sent as faxes very easily. |
 |
 |

It will support as many standard Cass 1, 2 or 2.0 modems as your
windows system will support on different COM ports under
Windows. |
 |
 |
 |
| Modems
can be individually configured to just Send, just Receive, or to
both Send and Receive faxes. |
 |
 |
 |
| The use
of all of the installed fax modems can now be controlled by a
scheduler that will allow you to exactly control what fax
activity occurs between certain hours of the day. |
 |
 |
 |
| The use
of some of the installed fax modems can be excluded totally from
use by NetCFax if required, so they can be used by other
applications. |
 |
 |
 |
| The use
of of "high end" fax boards such as those from
BrookTrout and other manufacturer s is not currently supported
by NetCFax. Other multi port boards such as DigiBoard are
supported.
If you intend to use more than
one modem with NetCFax, we strongly recommend that you obtain a
multi port board and do not try to install and use multiple
individual modems as the drivers provided by the modem
manufacturers for these modems have shown that they quite often
do not work well when supporting more than one modem.

DEPARMTENTS
The Fax Server Administrator can define and create "departments". These let you assign different
departmental access rights for received faxes. This enables
the concept of ONLY the members in one department being
able to access received faxes that were received on a certain
telephone line/number.
The
departments system also includes the ability to configure
separate printers for each department to handle all faxes
printed automatically by the system, based on the COM port
(Phone line) they are received on.. |
 |
 |
 |
ACCESS
GROUPS
Administrator definable
user access groups can be created, so that you can assign
different access rights to one or more login accounts quickly
and easily. Fexample, the groups system lets you create groups
that have access to received faxes rights access to
their own outgoing faxes
|
 |
 |
 |
| CONTROL OVER
Server access - To allow
any fax client to connect to a fax server, there must first be a
NetCFax login account created on the fax server. This is a
standard Login name and password, with the password being case
sensitive in the usual way.
|
|
|
|
CONTROL OVER
Server access - Each NetCFax login account that is created
on the fax server can be assigned various access right to
faxes. The three standard groups are
"Individual", "Administrator" and
"Blocked".
Individual access only allows users of these accounts to view
their own outgoing faxes (Pending, sent or failed) and no access
at all to received faxes.
"Administrator" accounts have full access to all faxes
held by the server.
"Blocked" accounts are not allowed to connect.
This allows accounts to be temporarily cancelled.
|
|
|
|
| Pro & PRO+ ONLY
CONTROL OVER FAX DELETIONS - To allow
any fax server administrator to specify what groups of users may
delete certain faxes, a configuration system is provided
that lets the server administrator decide if all users, or only
those with administrator rights may delete faxes, and in
addition, they can block the deletion of faxes from any
specified cabinet drawer as well.
|
|
|
|
Pro & PRO+ ONLY CONTROL
A complete list of user login accounts in
CSV format can be quickly imported to create a new set of login
accounts rapidly. The format of these CSV files is very
simple.
|
|
|
|
Pro & PRO+ ONLY
ROAMING LOGIN PROFILES - To
provide the maximum flexibility and ease of use of the NetCFax
clients when connecting from different client PC's and
potentially to different fax servers, we have now introduced
what we are calling "ROAMING LOGIN PROFILES"
These save the entire fax clients configuration system together
with your address book and personal
details to the
fax server you are logged into. Once you have created a
roaming profile, you can use the "Roaming Profile"
button on the fax client login window on ANY FAX CLIENT you
choose to use, and have your entire personal fax client
configuration and address book downloaded and used when you login to the fax
server. This means that you no longer have to worry about
fax notifications settings or any other preferences you have set
up in your personal fax client, as they will all be there on any
fax client you sit down and use.
Naturally, the fax servers have the ability to be configured to
support, or not support this feature.
|
|
|
|
Pro & PRO+ ONLY ROAMING PROFILES
If you have multiple NetCFax servers on your network, they
can exchange the client's roaming profiles with the other
fax servers
in addition to the address book data they can already exchange.

details of all faxes held by the server.
The Drawers provided are :
Pending, for faxes that have not yet been sent.
Sent, for faxes that have been sent successfully
Failed, for faxes that were not able to be sent
Received for all faxes that have been received.

The
faxes cabinet allows you to select any available fax file viewer
on the machine to be the default viewer used by NetCFax.
In fact, NetCFax automatically scans your system on startup to
try to identify other applications that Windows has listed as
capable of handling TIF files. You can even manually add
other viewers if you need to do so.

A powerful search system is built into the Fax clients
faxes cabinet
The NetCFax client cabinet lets you search through the currently
open drawer on a combination of different field/column criteria,
or even to look in all listed faxes for a match to the data
entered in any column. If one (or more) faxes in the
current drawer do contain a match, a new window listing all of
the matches is displayed, and this can be linked to the cabinet
drawer automatically so that as you select each one, that fax is
selected for you in the cabinet drawer so that you can see all
the details.

PRO+
ONLY SUPPORT FOR REAL TIME UPDATING OF RECEIVED
FAXES
Whenever a fax is received, the server automatically marks
it as unseen, and this is usually displayed in red using a bold
font. You can mark it Seen, add or edit comments attached
to the fax, view or delete it. All changes made to the received
faxes are visible to all connected fax clients in real time.

Whenever a fax is deleted by the server or a client, the server automatically
adds it to the deleted faxes recycle bin system, and does not
delete it fully from the fax system.
The fax server Administrator
can access the recycle bin and undelete faxes or remove them
permanently at any time. The recycle bin holds a maximum
of 500 faxes.

SUPPORT FOR COMMAND LINE FAXING - To allow
different applications to use the NetCFax server to create and
send faxes in the simplest possible manner, we have now added
support for "command line faxing". This system
uses a simple DOS style command line with one or more
parameters, or a text based control file that contains these
same parameters, and which should be able to be created
easily by most other applications. This file is then passed to
our FAXCMD Command Line Utility program as it's single
parameter. FAXCMD processes and validates the contents and then
passes the data and any included files to the NetCFax
server. The server parses the file and if all data is
valid, creates a fax and sends it for you.

COVER PAGE LAYOUTS
We provide four standard fax cover page layout templates
with the NetCFax server, these are named Normal, Information,

Naturally, you can create your own cover page payouts if you
wish to do so. In fact, we provide a copy of the freely
available Microsoft cover page editor that shipped with Windows
98 to make this as easy as possible for you. It can be
accessed directly from the Tools menu on the fax server.
|
|
|
|
| Pro & PRO+ ONLY To allow even easier installation of fax
clients, the clients now perform auto discovery by checking the
local network for all available fax servers if none are
listed in the login window's list of fax servers. This is
very useful if for whatever reason you do not use our own
"Copy fax client to networked machines" option.
|
|
|
|
| Pro & PRO+ ONLY SEND
TO - The fax
server can now automatically add a "Send
To" entry to the standard context menu in Windows Explorer
to let you quickly and easily create a fax from any plain ASCII
text files. The NetCFax 'SendTo' system even allows you to
use it to create
faxes rapidly from both TIF and PDF files.
|
|
|
|
| Pro & PRO+ ONLY DRAG
AND DROP - The main
application windows of the Fax Server now
supports "Drag & Drop" of suitable files from
Windows Explorer
to let you quickly and easily create a fax from any plain ASCII
text files. This feature
supports the "dropping" of ASCII text files,
plus TIF (TIFF) and PDF
files. If you have the right versions of the
relevant applications installed, you can even Drag & Drop
Word and Excel data to the window
|
|
|
|
| Pro & PRO+ ONLY
The Fax server can select which processor(s) they should use if the machine has multiple
processors or multiple cores.
|

FAX
VIEWERS - The
Fax Server has the ability to select any other graphics application
that is installed on that machine to be
used as the
default fax viewer that is to be used whenever you click the
"View Fax" buttons on the fax cabinet drawers.
NetCFax automatically searches and lists all applications that
are capable of allowing you to view and print fax (TIF)
files, such as
Kodak imaging, Kodak Preview, Paint Shop Pro, Microsoft paint and Internet Explorer.

CLIENTS -
Overview
|
|
|
|
INSTALLING
To
install a fax client you just use the "Copy fax client
Install/Upgrade" option on the server Fax Clients menu,
which copies the files required to install a client to the
networked machines for you. Then you just run the install
program on that networked machine |
 |
 |
 |
LICENSING
The
fax clients are not licensed or limited in any way. You may
install clients on as many of your networked machines as you
wish. Licensing and access control is all handled by the fax
server when the client tries to login. |
 |
 |
 |
MULTIPLE
INSTANCES
Full
support for running multiple instances of the fax client
installation under different login accounts when using Windows XP with
Fast Task Switching enabled |
 |
 |
 |
MULTIPLE
INSTANCES
Full
support for running multiple instances of the fax client
installation under Windows Server 2000
or 2003 that is providing Remote Desktop Sessions for the fax
clients. (NB You cannot run the Fax Server
AND the Fax Client(s) on the same Windows Server machine at this
time) |
 |
 |
 |
ACCESS
CONTROL
Access to
the client is controlled by a login name and password created as
a NetCFax login account on
the Fax server. |
 |
 |
 |
CLIENT
CONFIGURATIONS
Each
fax client installation maintains its own sets of configuration files for
each NetCFax login account that uses that client. This
allows you to use a fax client on any machine you have used
before, and still have all of your own settings and preferences
that you configured previously. |
 |
 |
 |
CONNECTING
Each
client can connect to any available (local or remote) NetCFax server at any
time, providing they have a NetCFax login account on that
server. |
 |
 |
 |
CONNECTING
Clients
can connect to any available NetCFax server(s) anywhere in the
world via a
normal internet connection, providing the servers are
accessible, and they have valid login details for the chosen
server. |
 |
 |
 |
AUTO
TIMEOUT SYSTEM
For
additional security against unauthorized use, the client can set
an optional timeout that will log that machine off from the fax
server they are
currently connected to, which also stops any access to
that client configuration system. |
 |
 |
 |
ACCESS
CONTROL
Fax
clients can access all of their own faxes held on any server they
are connected to. The NetCFax login account can be configured to
control what access that account may have to received faxes. |
 |
 |
 |
ADMINISTRATION
Fax
client login accounts can be modified by the fax server
administrator to allow access all faxes, or only their own plus
all received faxes. |

CLIENTS - CONNECTING TO THE FAX
SERVER
|
2.7
|
3.1
|
3.6
|
2.65.6
& 3.00 .6 and later - Fax client installation improvement
If the fax client is installed without the startup data file
provided by the server, that provides it with the information
required to connect to the fax server initially, it will now
perform an auto scan of the local network looking for any
available fax servers, and will add any found to the list of
server automatically within 10 seconds.
|
|
|
|
2.65.8
& 3.00 .8 and later - Fax client login improvement
In previous releases, if the fax client tries to login to a
fax server that is running on a machine that uses dynamic IP
addressing (via a DHCP server) it would consistently fail to
connect if the IP address of the server machine had changed due
to being restarted or whatever, as the fax client always stores
the IP address and uses that throughout a session to save it
having to perform the same DNS lookup each and every time.
There is now an option to have the fax client perform the DNS
lookup each time someone logs in to a server. This IP
address is then stored for the rest of that session.
There is also a new "rescan for available servers"
button on the server configuration window that clears the
existing list and rescans the local network for all available
NetCFax servers.
|
|
|
|
| AUTO
SEARCH FOR FAX SERVERS - Fax
clients can perform a search, and/or be notified automatically of the presence of any Fax
servers that are on the network, and they will also add it to their own list of
available fax servers automatically, unless configured not to do
so. |
 |
 |
 |
| Fax
clients have both the machine name (if available) and the IP
address listed to avoid server machine name resolution issues. |
 |
 |
 |
FIXED
-V- DYNAMIC PORTS
Because it is sometime necessary in some environments to use
a fixed TCP port for communications between the client and the
fax server, you can specify this, but if you use the default
dynamic port, you can limit this to only use ports in a
specified range to make network access control much easier. |
 |
 |
 |
AUTO
LOGIN SYSTEM
There is
an auto login system that lets you set up your
account details in the client, or you can use command line
parameters to do so when the fax client is first launched.
You can also set the login system up to always pre-fill the name
and password fields with your Windows login and password if
required. |
 |
 |
 |
| AUTO
LOGIN - The fax
client auto login system has options to let you have the
client start directly in the system tray, with or without
logging in. |
 |
 |
 |
| LOGIN Accounts - To
provide the maximum flexibility and ease of use the NetCFax
clients maintain the data of each and every NetCFax login
account that is used on that machine separately. This
means that whenever a login account is used on that machine, the
entire client configuration and your personal options are used
automatically. It also store your personal address books
on that machine, so these are always available to you (alone)
|
|
|
|
VISITOR Accounts - To
provide even more flexibility and ease of use the NetCFax
clients can connect to a fax server (that has this option
enabled) and create what is called a Visitor account. To do so
they simply enter their name in the login name field and click
the LOGIN VISITOR button.
When this system is used, they are only given the most basic
access rights of the standard "Individual" login, but
they can of course send faxes.
Once a Visitor account logs out however, all information for
that account is deleted on both the client and the fax
server. Any faxes created will of course still be in the
system, and are accessible to any NetCFax login account that has
Administrator rights.
|
|
|
|
Pro & PRO+ ONLY ROAMING LOGINS -
Once you are logged into
a fax server, you have the opportunity to save your entire
client configuration and your address book to that fax server.
You can then use the "Login (Roaming)" button on any
fax client on your network, and your client configuration and
your address book will be downloaded form that server
automatically, allowing you to work on any available PC
transparently.
|
|
|
|
| Pro & PRO+ ONLY AUTO
NOTIFICATIONS - When the
Fax client's log in, the fax
server now notifies the Fax Clients of the TCP/UDP port it is
using to send notifications of Sent. Failed and Received faxes,
plus other messages, . This removes the need for any
manual changing of the 'broadcast' port to be used in the
client.
|
|
|
|
Pro & PRO+ ONLY
ROAMING LOGIN PROFILES - To
provide the maximum flexibility and ease of use of the NetCFax
clients when connecting from different client PC's and
potentially to different fax servers, we have now introduced
what we are calling "ROAMING LOGIN PROFILES"
These save the entire fax clients configuration system to the
fax server you are logged into. Once you have created a
roaming profile, you can use the "Roaming Profile"
button on the fax client login window on ANY FAX CLIENT you
choose to use, and have your entire personal fax client
configuration downloaded and used when you login to the fax
server. This means that you no longer have to worry about
fax notifications settings or any other preferences you have set
up in your personal fax client, as they will all be there on any
fax client you sit down and use.
Naturally, the fax servers have the ability to be configured to
support, or not support this feature.

CLIENTS - THE FAX CABINET
|
2.7
|
3.1
|
3.6
|
The Fax
cabinet has separate "drawers" for each type of fax -
Pending, Sent, Failed and Received.
Accessing and switching between these is a simple as clicking on
the required tab.
Each cabinet drawer lists all the details of the faxes owned by
that login account, unless they have NetCFax administrator
rights, in which case all faxes are visible to them. |
 |
 |
 |
The Fax
cabinet provides a single access point for all faxes to which
your particular login account has access rights. Once
opened, you can print faxes, delete them, resend them etc.
The fax server can control whether you have deletion rights to
any type of faxes. |
 |
 |
 |
| The Fax
cabinet has progress sliders to show you how the downloading of
data is progressing if you are downloading a large # of faxes
from a server. |
 |
 |
 |
| The
Fax Clients do not store the actual faxes on the client
machine. These are simply retrieved individually from the
fax server on demand when you want to view or print them. |
 |
 |
 |
| The
Fax cabinet allows you to resend any Sent or Failed fax
immediately quickly and easily. You can even change the
sender/recipients details on these if required. |
 |
 |
 |
| The
faxes cabinet allows you to select any available fax file viewer
on the machine to be the default viewer used by NetCFax.
In fact, NetCFax automatically scans your system on startup to
try to identify other applications that Windows has listed as
capable of handling TIF files. You can even manually add
other viewers if you need to do so.
|
|
|
|
The
faxes cabinet allows you to Drag & Drop files onto it to be
sent to the fax printer. This system allows you to select
files in Windows Explorer and simply drop them on the fax
cabinet.
You can however, normally only use this to drop ASCII text
files, TIF (faxable) files, or PDF files providing they are not
too complex. But, if the machine the fax client has the
relevant applications installed and accessible, then you can
usually drop Word, Excel and other types of data as NetCFax will
attempt to shell the relevant program and have it print the data
to the fax printer.
If the relevant application does not provide this ability, they
will usually simply open with the selected file loaded, and you
can then print it to the fax printer manually to create a fax
from the file.
|
|
|
|
The
contents of the
faxes cabinet drawers can be filtered to only show faxes
that are dated between a specified date range.
If you are logged in to a fax server using a NetCFax login
account that has administrator rights the contents of the
faxes cabinet drawers can also be filtered to only show faxes
owned by your own login account, rather than all of the faxes
held by the server.
|
|
|
|
| The
fax details pane of the cabinet uses different pale colors on
different data areas to make data identification as easy as
possible. This can be disabled (use Black on White only) if you
wish to do so.
|
|
|
|
| You
can quickly and easily create reports on the contents of
any of the fax cabinet drawers, and these reports can be
filtered on several different parameters.
|
|
|
|
| You
can forward a fax as an attachment by email from any of
the fax cabinet drawers. No other mail system is required to
use this feature
|
|
|
|
| For
all of the "keyboard freaks" out there like ourselves,
the fax cabinet now supports many different "short
cut" keys that allow you to navigate and perform
actions without the need to use the mouse or buttons.
Different versions provide different ranges of key shortcuts.
|
|
|
|
Pro & PRO+ ONLY
A powerful search system is built into the Fax clients
faxes cabinet
The NetCFax client cabinet lets you search through the currently
open drawer on a combination of different field/column criteria,
or even to look in all listed faxes for a match to the data
entered in any column. If one (or more) faxes in the
current drawer do contain a match, a new window listing all of
the matches is displayed, and this can be linked to the cabinet
drawer automatically so that as you select each one, that fax is
selected for you in the cabinet drawer so that you can see all
the details.
|
|
|
|
| Pro & PRO+ ONLY
CREATING PDF COPIES - When using the standard
fax viewer or the special Thumbs viewer from the Received faxes
drawer of the Fax Client the File menu of both viewers provides
options to save received faxes locally (on the client) as PDF
files. PRO+ allows you further control this by saving
individual pages as PDF's, or of course the entire fax.
|
|
 |
 |
| Pro & PRO+ ONLY
USING DIFFERENT TIF (Fax files) VIEWERS -
The built in fax viewer can be replaced with a viewer of your
choice easily and quickly. Most graphics application that
provide TIF capability can be used. NetCFax even checks
for and lists all viewers programs that are listed by windows as
providing TIF capability to allow you to simply select a
different one at any time, or you can add another program to the
list manually.
|
|
 |
 |
Pro & PRO+ ONLY
- Assigning/routing RECEIVED FAXES directly from
the FAX CABINET
There is an option on the right click context menu that allows
you to directly access the fax assign/routing system while
viewing received faxes in the fax cabinet.
To make the use of this as simple as possible, the
assign/routing window selection changes as you change selection
in the received faxes list drawer, making assignment of any
received fax a real snap.
To enforce the standard
security, only NetCFax login accounts with Administrator access
are permitted to access this system. (see below)
This system lets you assign (or
unassign) received faxes to any specific individual login
account, or even to all members of a group, allowing them to
access and handle only specific faxes without having the rights
to see any other received faxes.
|
|
|
|
Pro & PRO+ ONLY
Assigning/Routing Received faxes
If the fax server has the option enabled to allow any fax
client login accounts that have full received fax access rights
they are allowed to use the received faxes routing system as
well as those with full Administrator access rights.
|
|
|
|
Pro & PRO+ ONLY
- CACHING OF RECEIVED FAXES for the FAX CABINET
There are various options to control which fax files are cached
(stored locally) when viewing received faxes in the fax cabinet.
To enforce the standard
security, and by default, the NetCFax client will delete these
cached files on closedown, but you can configure it to do so on
logout if required.
|
|
|
|
Pro & PRO+ ONLY
- Thumbs viewer
The NetCFax client cabinet now has a Thumbs viewer that allows
you to view faxes easily, plus rotate and save them, and even
save the entire fax as a PDF file. The Thumbs viewer can
even auto link to the received faxes drawer so that you can move
down the list of faxes and view them very rapidly.
|
|
|
|
- All of the cabinet drawers of all active Fax Clients are updated in real time
whenever a fax is received, sent, cancelled, deleted,
marked Seen or Unseen, and even when a comment in a received fax
is added or changed or deleted. All fax clients that have
the relevant faxes drawer open will see these changes in
their list of faxes immediately.
The other drawers are also updated automatically, and by
default, new entries are displayed in Red to allow immediate
identification.
This provides superior
access and control for the handling of received faxes by
multiple individuals working with these faxes at one and the
same time. |
|
|
 |
v3.5.0.3
& later PRO+ ONLY - REAL TIME UPDATING
The contents of the received faxes drawer for all
logged in fax
clients is updated in real time whenever the server or a fax
client makes changes to the received faxes assignments (routing)
.
This means that if currently open, the received faxes drawer of all
fax client cabinet drawers will be refreshed automatically to
reflect the changes made to assignments.
|
|
|
|
PRO+
ONLY
The fax cabinet has a View Menu that lets you choose the
default fax viewer to be used for viewing the fax files. You can
set this to use the standard internal viewer, or the Thumbs
viewer. (When PRO+ v4 ships, there will a new multi page thumbs
strip viewer which can also be set as the default viewer)
|
|
|
|
PRO+
ONLY
The clients fax cabinet uses color coding to identify
outgoing faxes in the top list (only used if your NetCFax login
account has full NetCFax administrator rights). This
allows you to very quickly and easily identify your own faxes
(listed in dark blue) faxes sent by the administrator from the
fax server (these have an Owner name of ADMINISTRATOR and are
listed in dark green) while all other faxes sent by other login
accounts are listed normally in black.
|
|
|
|
PRO+ ONLY - RESENDING FAXES
The
Fax cabinet allows you to resend single or multiple Sent or
Failed fax immediately quickly and easily. If a single fax
is selected, you can change the sender/recipients details on
these if required, but if multiple faxes are selected, they are
resent exactly as they were previously.
|
 |
 |
 |
PRO+ ONLY - BANNER OVERPRINTING
The Fax client can now create a special "banner" line
that can contain various data from the fax itself by entering
simple MACROS into the text in your banner.
This works for both incoming
and outgoing faxes. When viewing the faxes in the Thumbs viewer
and printing them, you are given the option to overprint this
banner at the top or bottom or even down the left or right hand
sides of the faxes.
|
|
|
|
PRO+
ONLY The Fax server now maintains a deleted faxes
recycle bin
Whenever a fax is deleted by the server or a client, the server automatically
adds it to the deleted faxes recycle bin system, and does not
delete it fully from the fax system.
The fax clients (those with
NetCFax administrator log in rights) can access the recycle bin
and undelete faxes or remove them permanently at any time.
The recycle bin holds a maximum of 500 faxes.

CREATING FAXES

FAX
TYPES
The
fax client can create three different types of faxes. A cover
page only fax, a data only fax (with no cover page), or a fax
with a cover page and one or more attached pages of data. |
 |
 |
 |
CREATING
FAXES FROM OTHER APPLICATIONS
When a
fax client wants to send some data from another application as a
fax, the conversion of that data into faxable format is done by
"printing" it to the NetCFax printer driver, which of
course we provide. |
 |
 |
 |
FAX
CREATION - 1
If
the
fax client Printer is used to create a faxable file, the default
behavior is for NetCFax to automatically display a window asking
you to provide a meaningful name for that file. You can
accept the default, and can then choose to simply save it in the
faxable files folder for later use, or to create a fax and send
it immediately. |
 |
 |
 |
FAX
CREATION - 1
When
you click the "Create Fax" button on the fax client
window, a fax creation wizard is started that lets you select
the type of fax you want to create, attach one or more text or
faxable TIF files to it, and then to enter the addressing
information and cover page text (if appropriate).
Faxable files can be promoted or demoted in the list of files to
allow you to create the correct order of pages in the resulting
fax. |
 |
 |
 |
FAX
CREATION - 2
When
you click the "Next" button on the first wizard window,
you are taken to the second page which is where you enter all of
the addressing details. You can select recipients from your own
address book, or the fax servers shared address book, and also
create the text that will be on the fax cover page. Cover
page content templates that you create are also available to
make this even easier. You can even have the system
reformat the comments to ensure they fit on to the cover page
correctly. |
 |
 |
 |
FAX
CREATION - 2
The
Fax Client allows you configure the fax
printer to prompt or not not prompt you for a file name. If you
enable this option, the faxable TIF file created by the fax
printer is simply saved to your specified printer files folder
without any prompt being displayed, using the default file name
the Fax Client provides. |
 |
 |
 |
Pro & PRO+ ONLY - DRAG
& DROP
The
Main fax client window allows you to Drag & Drop files onto
it to be sent to the fax printer. This system allows you
to select files in Windows Explorer and simply drop them on the
fax cabinet.
You can however, normally only use this to drop ASCII text
files, TIF (faxable) files, or PDF files providing they are not
too complex. But, if the machine the fax client has the
relevant applications installed and accessible, then you can
usually drop Word, Excel and other types of data as NetCFax will
attempt to shell the relevant program and have it print the data
to the fax printer automatically.
If the relevant application does not provide this ability, they
will usually simply open with the selected file loaded, and you
can then print it to the fax printer manually to create a fax
from the file. The versions of Word, Excel and Powerpoint
in Microsoft Office 2003 (and later release) do support this
functionality virtually transparently.
|
|
|
|
PRO+ ONLY - The cover page content templates
system has been enhanced considerably in PRO+.
You can now save templates to the fax server for your own
personal use from any other fax client, and you can also save
them to the fax servers shared templates folder. You can
also delete the "shared" templates owned by the
fax server, but only if you are logged in using a NetCFax
administrator account, and you are able to provide the fax
servers security password.
|
|
|
|
| PRO+
ONLY - The Fax clients can now save their
personal cover page content templates to the fax server, and
download them at any time, allowing the use of any fax client on
any machine much easier, as your personal templates are still
available.
You can also save your
templates to the server as a shared template, making it
available to all other fax clients, providing the fax server has
not disabled this option.

date that it should be sent. This allows you to have the
system wait and only send these faxes out during "cheap
rate" periods such as overnight if your telecom provides
such discounts. |
 |
 |
 |
MODEM
SELECTION
When
sending faxes, you can if you wish specify the particular
modem/phone line is to be used by the server to send that
particular fax. By default it continues to try all available
modems. |
 |
 |
 |
| TIME
ZONES - When a
fax client sends a fax scheduled for sending immediately, the
server automatically sets it to its own time so that the fax
is sent even if the time server is in a different time zone, or
the client and servers PC clocks are set to different dates or
times. This allows immediate sending to be honored by
servers that are in totally different locations to the fax
client that sent the fax. |
 |
 |
 |
COVER
PAGE CONTENT TEMPLATES
A
cover page (contents) templates system is provided, and
you can not only store them locally in the fax client, but you can even access and use
templates created by and held on the fax server(s).
|
 |
 |
 |
BROADCAST
LISTS
The
built-in interface for creating fax broadcast lists has been
totally redesigned to make it easier to use and more intuitive. |
 |
 |
 |
DRAG
& DROP
Both
the Main fax client and the faxes cabinet windows allow you to
Drag & Drop files onto them to be sent to the fax
printer. This system allows you to select files in Windows
Explorer and simply drop them on the fax cabinet to create
faxable files.
|
|
|
|
SENDING
To
enhance the visual confirmation when a fax is sent to the fax
server successfully, a small graphic image appears immediately
above the system tray, in the very bottom right of your screen
area. This image disappears automatically after two
seconds. If you do not like popup windows appearing at
all, you can disable this on the Fax defaults configuration
window.
|
|
|
|
SENDING
Each login account can choose the fax modem that is to be
used for sending out faxes (if you have more than one modem
available), you can now specify the default modem/port that is
to be used. This option can of course be changed in the Fax
creation wizard if required. This feature is especially useful
when using the departments system.
|
|
|
|
| Pro & PRO+ ONLY To allow you to check all of the attached pages
of a fax before you send it , the fax clients now have a Preview
button that displays all attached pages as thumbnails in a
resizable window directly from the main fax creation window.
|
|
|
|
PRO+
ONLY - IMMEDIATE LISTS - When
printing data to the fax client printer (not the Remote fax
printer) the system maintains what is called an "Immediate
list" of all the TIF files created.
When you are ready to send these as a fax, you can select from
the Immediate list quickly and easily to create the outgoing fax
with as few or many of those documents as you wish. You
can also maintain this list at any time. Each immediate
list is saved by the client, and is unique to each login
account, allowing multiple users to all have their own immediate
list available at any time. |

THE
FAX PRINTER DRIVER
As
part of the NetCFax client installation, a Fax Client Printer
driver is installed. This is used to let you create faxable data
from other applications such as Word and Excel etc by simply
printing the data to the fax printer. |
 |
 |
 |
| Fax
clients can print any faxes their account allows them access to
locally, and to maintain their own fax cabinet contents.
(Subject to deletion rights that can be controlled by the fax
server) |
 |
 |
 |
| All faxes can be printed
very easily from the faxes cabinet of both the fax
server and the fax clients. Both have a 'Print"
button and a context menu (not in v2.7) offering options to print
parts of or the complete fax. (see v3.00 information for
details of the more powerful printing options
available in NetCFax Pro and PRO+)
|
|
|
|
| Pro & PRO+ ONLY
All faxes can now be printed
very much more easily from the faxes cabinet of the fax clients.
There is a Print button to
print the entire fax, and context menus
offering the options to print cover page only, attached pages
only, the entire fax, or just a transmission report, and the
client also now has a Print menu.
|
|
|
|
Pro & PRO+ ONLY Using the REMOTE PRINTER SYSTEM
To provide support for printing data to the fax system when
running the fax client under Remote Desktop Sessions, NetCFax
provides the Remote Fax Printer.
This printer does not need the fax client to be running, as it
automatically creates and saves the TIF (fax) file in a
specified folder.

occurred on the fax server since you logged into it. |
|
|
 |
| PRO+
ONLY - Server modem activity - The
fax client has a modem in use warning LED that goes red when the
fax server is using any modem(s), and it automatically logs full

This allows fax clients to
monitor modem activity without needing any direct access to the
fax server.
