We understand that in some
organizations it is quite possible that there is a need for a fax
system such as NetCFax to be used by "Casual" users on a
simple one off basis.
Like most similar systems, and
because you need to login to the fax system before you can use
it, the fax administrator would have to go to the fax server
create a new login account to allow such casual use, which we did
not think was very helpful.
There are two options in this
scenario.
1 - Have one or more login
accounts already created and available that are reserved solely
for use by such casual users. This would however limit the
number of logins that could take place at any one time to the
total permanent accounts you create for this purpose. It
would also mean that all faxes sent by these accounts would have
the same owner name.
2 - Use the the new
"Visitor" account system we have developed for
2.72 and 3.12 releases (and later).
The Visitor system is very simple
to use. All you have to do is to enter your full name in the
login field, (you can ignore the password field) and then click
the "Login (Visitor)" button. The client
passes the name entered (which must be at least 6 characters in
length, and must contain at least one space) to the server and
requests a new and temporary account is created using that
name for the login name and password (the space is removed for the
password). If the server can do
so, it creates a specially marked new account, and the fax client
then automatically logs that user in, using this new account.
Once they are logged in with a
Visitor account, they can use NetCFax in virtually the same way as
any other login account, but these accounts are of course only
given the standard "Individual" access rights, so they
cannot be used to view received faxes, unless of course any are assigned to them while
they are still logged in.
Once a Visitor account logs out,
the Visitor system behaves very much like a "Guest" account does in
Windows. The fax server immediately destroys the account
totally, but retains any faxes that may have been sent. The
client does the same, including destroying the temporary
configuration file for that account, and any address book
entries or personal details that may have been made. Any
faxable data files that were created by using the NetCFax printer
will however remain in the faxable files folder.
In fact, this system means that a
NetCFax client could be setup on a machine in a public area, and
anyone could use it at any time if they needed to send a fax.
ADMINISTRATOR INFORMATION
If you are a fax administrator,
and wish to disable this button on any of your fax clients, you
can do so by either :-
1) Go to the tools menu, select
the administrators option, and then click on the the Visitors
option. To use this the client must be logged in to the fax
server, and you must enter the fax servers master access password
(the same password used to access the fax server when it is in
"locked" mode)
2) Editing the main client
configuration file NCFXCLIENT.DAT that can be found in the
\DATA\RAW sub folder of each fax client's installation tree.
Find the entry shown below in the
section labeled
[SYSTEM]
ALLOWCASUAL=0
This entry will usually be set to
one by default, but making this a ZERO will disable the "Login
(Visitor)" button. Save the file again, ensuring
Notepad does not add .TXT to the end of the file name !!!!!!!
3) If you make the same
change/addition to the clientsettings.txt file that can be found
in the \CLIENT sub folder of the server installation folder, all
further fax client installations that use this file will have the
setting you have chosen used.
