This page provides information to help you understand
How to be notified
when a fax is received.

BACK TO INDEX PAGE

As you doubtless already know by now, all of the sending and receiving of faxes is handled by the NetCFax Server alone.

It is quite possible, and even likely that the PC running the NetCFax server is nowhere near you, but quite reasonably, you may still want to know when an incoming fax has been received, after all, it may be an important order or something else that requires immediate attention from someone in your organization.

There are various configuration options for this very useful feature. The first is on the server itself, which can be configured to provide, or to NOT provide these notifications to the fax clients, which allows the network administrator to decide and control what they want the fax server to do in terms of notifications.

The second is controlled entirely by the access rights the login account you are using has. By default, if your fax login account only has the standard "Individual" rights, you will NOT receive notifications of received faxes. However, if your fax login account has "Individual" +  all received faxes rights, or of course full Administrator rights, then you WILL receive notifications of ALL received faxes.

If we assume your fax server does have this option enabled, all you need to do is to ensure that your fax client is also configured correctly to receive the notifications.  To do so, go to the Tools menu, and select the "Received Fax notifications" item.

This will display a window with various options on it.  All of these options let you have the client perform various actions whenever a fax is received by the server.

By checking the options in the top box, your fax client will perform various "Quick" warnings of a received fax.  The lower options allow you to receive more detailed information on the fax that has been received, including having it play the default Windows "Fax received" sound.

IMPORTANT - To receive any of these notifications, the fax client MUST BE LOGGED INTO THE SERVER all the time, as the server only sends notifications to the fax clients it has listed as being logged into it at any point in time.

NetCFax PRO+ v3.6

If you have the PRO+ release however, ALL of the cabinet drawers can be updated in real time totally automatically (This is the default setting). In fact the fax cabinets of all of the logged in fax clients are updated in real time.  This means that whenever a fax is received it appears in the list of received faxes instantly, and is removed if anyone deletes it.  The received faxes can also be marked as Seen or Unseen by anyone, which will highlight (or un-highlight if marked as seen) them in the cabinets of all fax clients, also in real time.  Even changes made to comments on received faxes are updated in all client cabinets in real time. This means that the notifications described above for faxes received are not really required anymore, but you can of course, still have them if you wish to do so.

NB- Because of this new feature, the cost of the PRO+ release is a little higher than the cost of Pro.
