Creating and sending a
"fax" that contains various different original documents
is very easy to achieve with NetCFax.
Example of how to create a fax
containing one or more Word documents and some Excel spreadsheet
data to someone with NetCFax
There are two important processes
you need to do first of all, marked as STEP 1 and STEP 2 below.
STEP 1
You first need to load Microsoft Word and open the
document that you want to be a part of the fax. If you only want
to send a part of that document, just highlight the required
section in the normal way.
When all the data you want to fax
is ready, and you want to actually create the faxable data, all
you need to do is to go the File Menu (of Word) and select the Print
option
(NB - DO NOT use CTRL+P as most times this will
automatically send the data you have selected, or the entire
document to the default Windows Printer) which is not what
you want to happen in this case.
IMPORTANT - Because
NetCFax needs to be involved in this process when it comes to
naming the fax file that is created, PLEASE REMEMBER that NetCFax
must be running (although the client does not need to be logged in
to a server) before you can use the fax printer.
Then click the Print option
(in Word) which
will display the standard Windows "Select a Printer"
dialog, and select the fax printer driver named NetCPlus Fax
Server Printer if you are working on the fax server machine, or
NetCPlus Fax Client Printer if you are using a fax client. Finally
click the Print button on this dialog.
If your locale does NOT use LETTER
format paper, and you didn't change this to the correct paper size
when the fax printer was first installed, you may also need to go
into the properties of the fax printer and change the paper size
to the correct one (such as A4) for your part of the world.
This will make Word send (or
rather print) all the selected data in your Word document to the
NetCFax printer driver. This will convert it quickly and easily
into a faxable file (usually known as TIF or TIFF
files).
Once the printer has created the
faxable TIF file of the Word data, it will notify NetCFax which
will automatically display the window that asks you to enter a
meaningful name for the fax. If you wish to do so (we recommend
you do), enter a name that will allow you to identify the document
again later on.
Then, just click the third button
from the left at the bottom of this window, which is labeled
"Save file in cabinet", and then, if you want to create
some more data before sending this fax, click the Cancel button to
close this window.
What this does is to save the
faxable file in what we call your faxable files cabinet. If
you want or indeed need to know, this location is by default a sub folder
named \Printerfiles in the main NetCFax installation tree, but you
can set it to wherever you wish.
STEP 2
You now need to load Microsoft Excel, and again open the
document that you want to include in your multi page fax.
Repeat the same steps as above
for the Word data, but of course, in Excel you will need to set
the required Print area before selecting the NetCFax printer.
STEP 3
You can of course continue this process using as many
different applications as necessary to create faxable data from
each one.
The information above applies to
sending Acrobat PDF files, Microsoft Excel data and indeed the
data from most other applications such as accounting systems and
others.
TIP - Both the
Main fax client and the faxes cabinet windows also allow you to
Drag & Drop files onto them to be sent to the fax
printer. This system allows you to select files in Windows
Explorer and simply drop them on the fax cabinet to create faxable
files.
You can however, normally only use this to drop ASCII text files,
TIF (faxable) files, or PDF files providing they are not too
complex. But, if the machine the fax client has the relevant
applications installed and accessible, then you can usually drop
Word, Excel and other types of data as NetCFax will attempt to
shell the relevant program and have it print the data to the fax
printer.
If the relevant application does not provide this ability, they
will usually simply open with the selected file loaded, and you
can then print it to the fax printer manually to create a fax from
the file.
STEP 4
Finally, and whenever you are ready to actually send this
(quite probably large) multi page fax, you can access all the data
you have created as discussed above very easily. Just open
the first window of the fax create system. This lets you add
as many files as you wish to the list of files provided. In this
case, you will want to click the button labeled "Select
faxes" as this will open the file selection window with your
faxable files cabinet drawer listed. Just select any of the
files you have previously created and click OK, and it will appear
in the list automatically. Repeat this process for each and
every faxable file you want to be included in this fax.
If the Select Fax button is
disabled, your system is probably configured to default to cover
page only faxes. You only need to select one of the other radio
buttons above the list that allow you to send attached documents
alone, or the documents plus a cover page.
If you want to re-order the
attached documents you now have in your list, you can do so easily
by using the "Up" and "Down" buttons.
Once you are satisfied that you have all the attached documents
listed, and in the required order, just click the Next button.
Now enter whatever cover page
information you want, click Send, and the fax will be sent off to
the fax server to be sent for you.
