This page provides information to help you understand how easy 
using NetCFax is compared to using Multi function printers for faxing

First of all, let us say we have nothing specific against MFP's (Multi function printers) at all, they are mostly great pieces of modern printer technology.

BUT.............. (There is always a but isn't there ?)

When you use such a device to print the data you want to be faxed they fall short in many important areas.

To look at this in more rational detail, let's first look at what MFP's are very good at doing.  The most obvious thing is PRINTING, as after all, that is exactly what they are, and what they started out being, and what they still remain - they are designed and built to be PRINTERS.

OK, that's just fine, and of course, we all need to print stuff out from our computers at some time or other.  Most MFP's let us do clever stuff like wait for us to enter a password or PIN number into the printer machine itself before they will give us our printouts, which really is great if the data we have had it print out is confidential.

MFP's can even handle sending faxes out - WOW !!!!!!

But to send a fax using such a beast requires that we go through several important (and in our view  pretty time wasting) "production steps".  

What are all these steps you may well be asking ?

Sending a fax using an MFP device

1 - First of all, we run the relevant application on our PC's and decide to print some data we want to fax.  No problem, NetCFax requires that step as well, but NetCFax doesn't need it to be sent to a printer somewhere in the office.

2 - Leave your desk, walk across the office or wherever to go to the MFP you selected  to have your data printed.

3 - It may well be that many other people in the office have just done the same thing, so there could well be a line you need to join.

4 - When you eventually get to the head of the line, you may need to enter your PIN number, and then wait for the MFP printer to print your data out.

5  - Depending on your MFP and your internal system, you may need to rejoin that line to wait until you can get back at the MFP to get it to actually fax (send) the paper you now hold in your hand.  On the other hand perhaps you are lucky and can continue the faxing process immediately.

6 - To start the faxing process with most MFP's, you first need to feed the paper you just had your MFP print out back into the same MFP, and then you have to stand there and use an LED or similar panel to enter the fax number and other details required for it to send the fax out. Most MFP's do not provide any form of address book to make this task easier and quicker

7 - Finally - You are now ready to press the SEND button.  

Scenario 1

8 - Oooops, the receiving fax machine is busy !!!!!!!

9 - Maybe you have to repeat step 6 all over again, or at the very least, you are certainly holding everyone else up in that line it took you so long to get to the head of ?

10 - You may need to repeat steps 6 through 9 all over again until you fax finally does get sent.

11- You could be missing from your desk for a long time....

Scenario 2

OK, it went through the first time, and you now have the printed fax output back in your hand.

8 - You can now (finally) return to your desk and continue doing some productive work
     

QUESTIONS YOU NEED TO ASK YOURSELF 

-  How long were you away from your desk to send that fax ?
ANSWER = several minutes...

- How many important phone calls did  you miss while doing it ?
- ANSWER = Several possibly...

- How many new orders (or new customer enquiries or whatever) were missed 
  while you were waiting for or using the
MFP ?
- ANSWER = Possibly quite a few...

- What was the TRUE COST of sending that single fax ?
- ANSWER = Far more than it should, and can cost...


Total time to send the fax using MFP = anywhere from 5  to 15 minutes


Sending a fax using NetCFax

1 - First of all, we run the relevant application on our PC's and decide to print some data we want to fax.  In this case you simply print it to the NetCFax printer.  It is already secure, as the only place it exists is still on your PC.

2 - Select Create Fax or Send fax now, and complete the recipient details.  You can select all of the recipient details from your own personal NetCFax address book, or even from the NetCFax server's shared address book, and ALL of your own (senders) details can be prefilled by NetCFax, so this step takes very little time at all.

3 - Click the send now button.

4 - Carry on working !!!!!!

If the recipient fax # is busy, NetCFax will automatically try again for the number of retries you specified in the fax creation wizard.

Once it is sent, or fails after all retries, a notification window will popup to tell you the result

QUESTIONS YOU NEED TO ASK YOURSELF 

1 - How long were you away from your desk ?  
-   ANSWER = 0 minutes

2 - How many other calls did you miss ? 
-   ANSWER = NONE

3 - Can it really be that simple ?  
-   ANSWER = YES
         


Total time to send the fax with NetCFax= No more that 1 minute typically
