In normal use, most NetCFax
systems will build up quite a large number of faxes in the system,
unless you maintain them on a regular basis. Naturally, the more faxes you have, the longer it
will take for details of all of these to be loaded into the fax
cabinet viewer, especially on the fax clients.
There are two ways to approach or
control this.
On the Fax Server, you will find
an option under the Cabinet menu labeled "Fax
cabinet purging options". This lets you have the
server purge all files older than xx days. It performs this
operation every 24 hours, and you can specify a different period
of days for each of the cabinet drawers. We strongly
recommend that like with any other system that holds large amounts
of data, you take advantage of this facility to keep the faxes
stored by your system at a manageable level.
IMPORTANT - If you use the
Purge, not only are the DB entries used by NetCFax to
identify/control the faxes removed, but all of
that actual fax documents are deleted from your hard disk as
well. If you want to save these faxes (they are just TIF
image files), you can do so very easily using Windows
Explorer. All faxable data is held in the \cabinet sub
folder of the server's installation folder. Those that are
received faxes will all be in the \Received folder, and all other
outgoing faxes are held in the \Pending folder. This includes
Sent, Failed and Pending faxes. You can copy
these anywhere you like. We do suggest that you do not delete them
before the purge has been performed.
The other way to do this without
deleting your older faxes is to use the Filtering...
menu option on the fax cabinet of the fax clients (This option is
not [currently] provided on the fax server). This feature
lets you limit the fax details downloaded from the server to only
those sent/received after or between certain dates. There is
also an option to have the system maintain this date range for
you, incrementing both the oldest and latest date ranges you have
specified by one day./ This occurs automatically each day at
midnight if the server is left running, or when you restart the
server they are checked to ensure they are not out of date.
Both systems will let you
avoid/control the number of faxes that are actually listed in the
cabinet viewer.
