Creating an address book in NetCFax is very
easy to achieve.
You can of course sit and type
entries in one after an other, or you can use the "Add to
address book" option on the second page of the fax creation
wizard, or you can import existing address data from any other
application (such as Outlook) that has the ability to export its
data in the the industry standard Comma Separated Values"
(CSV) format. (CLICK

The NetCFax
client's address book
property sheet is shown below :

As you can see, the fax client's
address book has three separate tabs, which are described
individually below.
Personal Address Book -
This is your own personal address book, and is not accessible to
any other people, even if they use the NetCFax
client on your machine to create
and send a fax. The address books are individually saved for
each login account that may use this particular fax client system.
You can add, edit or delete
entries in your personal address book as much as you wish.
We are already in edit mode in
this example, so that you are able to see the entry fields.
Very little information is really required for a fax system
address book, which is why we have only provided the most obvious
fields of Name, Fax #, Voice # and Company name, plus a notes
field that you can use to add notes about this entry. You
can also specify the default fax resolution setting NetCFax
is to
use for all faxes sent to this recipient. (low or high resolution)

Shared Address Book - This
is a copy of all the address book entries held by the Fax
server. You can of course use any of these addresses to send
faxes to, but you cannot add, edit or delete them. Usually
these are unlikely to change very much, but if you are not sure
whether you have the latest copy of this address book, you can use
the "Reload entries from server" button to refresh the
list at any time.

Senders Details - This is
where you enter your own personal details, which are used by NetCFax
to prefill all of the senders details on the fax creation
window.
You can also save your email
address, and if required, the IP Address or name of your network
mail server machine. This information is used for sending
you email notifications if your account is configured to receive
these.
How address books are
stored
Each login account will normally
store a copy of their address book and personal details on the PC
you run the client on. This applies even if a single NetCFax
client installation is being run by multiple users under XP
Pro's Fast Task Switching (FTS) or under Remote Desktop
Sessions (RDP) on a Windows 2000 or 2003 server.
However, NetCFax
offers you TWO other options as well.
On the address book menu, there
is an option to let you save this data to the fax server you are
logged into. This then means that you can access your personal
address book from any NetCFax client
on any machine. To do this, you do need to ensure that you
check the settings provided on the Address Book Options entry on
the Address book menu to make sure it is set to let you download
your address books from the server when you login.
The second, and even more
powerful option, is the option on the Tools menu that lets you
create and save a roaming profile on the NetCFax
server. When you do this, your entire personal NetCFax
client configuration system, plus your address book and
personal details are all saved to the fax server. Then, you
can use any fax client on any machine, and just by clicking the
Login (Roaming) button, your address books and personal details
are automatically downloaded from the fax server, together with
the fax client configuration system. This makes the NetCFax
client system a very flexible way to handle faxing quickly
and easily.
