environment
-The
NetCFax
(server and/or clients) can be installed on W98, ME, 2000, XP
(with or without SP1 or 2), Windows Vista and all server
versions of these, including W2003 server and the Small Business Server. We provide built in
support for XP (with or without SP1 or 2, and with Fast Task switching
enabled or not), and Windows 2000 or 2003 servers that are providing
Remote Desktop Sessions to the networked machines. NetCFax will
even run on a Windows Virtual Server 2005.
However, the Fax server and/or Fax
Clients do NOT
need to be installed on a "server" version of Windows at all.
They can all be installed and run on any Windows PC...
|
|
|
modems
-
NetCFax
does not limit you
to using only one or two modems, it allows you to use as many modems as
your PC and Windows operating system will support, or even multi port
boards, but please note that we do not support high end boards such as
those from BrookTrout and others.
|
|
|
setup
-The
NetCFax
system is easy to use and easy to
administer. Installation is a breeze with the built in wizard, and
should be completed in
well under 10 minutes.
Quite naturally, you install the fax
server first. Once the fax server has been installed, you can decide if
you want to install a fax client on the same machine as the fax server,
or of course, on as many other networked PC's as you wish.
|
|
|
setup
-The
NetCFax
server provides a very useful option on the Fax Clients menu that
lets you quickly and easily copy the fax client install system to any
machines you want to install it on. This can even be a shared
drive/folder on a server machine that can be access by all networked
PC's, so that the client install can be run directly from there.
|
|
|
USAGE
-A single NetCFax
client installation can now be used by multiple people at the
same time under Windows XP Pro with Fast Task Switching and Windows 2000
and 2003 Servers that provide Remote Desktop Sessions.
|
|
|
SETUP
- NetCFax
is designed to provide you with a very powerful fax system, and
therefore there are a great many different options, but you do not need
to be intimidated by them, as YOU DO NOT NEED TO SET ANY OF THESE UP
UNTIL YOU ARE READY TO START USING THESE MORE ADVANCED FEATURES.
"Out of the box" both the
NetCFax Server and the NetCFax Clients are pre-configured to suit the
needs of most typical networked fax systems.
|
|
|
FAX
control
-The
NetCFax
server handles ALL sending and receiving of faxes. It
automatically queues faxes waiting to be sent out. Only the
machine that has the fax server installed needs to have one (or more) modems. The
fax clients do not use a modem at all.
|
|
|
FAX
control
-All of the faxes handle by the system are stored by the
NetCFax
server alone. The Fax clients never store any faxes
permanently.
|
|
|
access
-The
NetCFax
clients can quickly and easily access all faxes held by the fax
server they are logged into, providing their login account has the
relevant access rights. The login accounts provide complete
control over who can access which faxes that are held by the server.
|
|
|
pdf
support - The
NetCFax
server can convert all received
faxes into PDF files completely automatically and make these
available easily to the logged in Fax clients. NetCFax
Pro even allows you to have faxes that are sent out copied as PDF files as well.
|
|
|
scheduling
-
When a fax is created, it can be scheduled
for sending immediately, or at any date/time in the future.

|
creating
faxable files
-
Both the
NetCFax
Server and the
NetCFax
clients install our own special "fax printer". This is
used in exactly the same way as any other installed printer, so all you
need to do is to use the Print options of any application that you want
to create faxable data from. Simply print the document you want to fax
to our printer, and a faxable file will be created automatically, and
you are then taken straight into the fax system so that you can send it.
|
|
|
fax
content
-
Faxes can be a simple cover page only, or
a cover page with attached (faxable) documents, or only those same
(faxable) documents without a cover page.
|
|
|
licensing
- Only the
NetCFax
server needs to be licensed
The NetCFax
client installations do NOT have to be licensed at all.

|
|
control
over faxes
- NetCFax
clients can also print faxes, delete them,
schedule them to be resent, and even cancel a fax that is waiting to be
sent. By default, fax client login accounts only provide access to
the faxes that have been created by that specific login account.
Clients CANNOT VIEW OTHER PEOPLES FAXES unless the login account they
are using has been given administrator rights. Access to received
faxes is also controlled in a similar manner, allowing the administrator
to decide exactly who may, and of course may not view received faxes.
The fax
server administrator can even control what faxes may be deleted by fax
clients.
|
|
|
|
pdf-to-fAX
-
You can Select / Convert relatively
simple PDF files into faxable TIF files
automatically on the server and in the clients.
|
|
|
notifications
-
The
NetCFax
server can notify all logged-in fax clients personally
when their faxes are sent, or even if a
fax fails to be sent via a broadcast notification. (The Fax
client must be logged in to the
NetCFax
Server to receive these)
|
|

|
|
|
notifications
-The
NetCFax
server can send an email to a specified
email address when faxes are sent successfully, or send a warning email if a
fax fails to be sent. (NB
- All sending of emails is handled entirely internally by NetCFax.
No other mail system is required, other than a mail server somewhere
that will to accept it of course, such as your ISP's mail server or a
mail server on your local network )
|
|
|
notifications
-The
NetCFax
server can automatically notify all logged-in fax clients that have access
right to received faxes
whenever the server receives a fax. You can even have
the fax server and/or the fax clients that receive these notifications play
an audible warning if you wish to.
In PRO+, this is not really needed,
although it is still available, as the PRO+ system has automatic and
real time updating of all fax client's faxes cabinet.
|
|
|
security
-
To protect your fax data, the
NetCFax server requires each fax client to login before they
are allowed to access any available NetCFax server,
and this is required even if you only want to access that particular fax
clients configuration settings.
To ensure total data security, all fax server's can be placed into a "Secure Mode' so that no
unauthorized persons can access the servers themselves, or the faxes
they hold, or change any of a server's settings.
|
|
|
networking
-To avoid the many problems
and pitfalls
of using the pretty typical Windows shared folders networking configuration to
allow network
connections between the Fax Clients and a (remote) Fax Server,
NetCFax uses the well proven, Industry Standard TCP/IP protocol
(the same protocol used for Window's networking and of course, by every Internet
program). Doing so
avoids the problems of needing to configure network
shares on the server, or set up user access permissions under NT based
systems simply to let the
NetCFax Clients connect to the
NetCFax Server.
|
|
|
networking
-To make accessing the fax server as simple as possible from
any NetCFax client, NetCFax Pro v3.xx introduced Roaming Profiles.
These allow a fax client to save their entire configuration on the fax
server, and then they can download and use it from any fax client they
may use, allowing them to have their own fax client settings, address
books and personal details etc no matter which PC they login from.
|
|
|
fax-to-email
-NetCFax even provides the built in capability to send faxes
as email attachments, and also provides a
powerful Email-to-Fax gateway to allow emails to be sent directly to it
for onward faxing.
|
|
|
shared
address book
-The
NetCFax server has its own address book, and this is freely
accessible to any logged-in
NetCFax clients, but the
NetCFax clients cannot change
or delete entries in this address book.

|
|
client's
address books
- Naturally, each
NetCFax client login account can have it's own "Personal" address
book, and
these can be stored either locally on that PC (the default), or they can
also be stored by
the fax server (see below).
|
|
|
client's
address books
- NetCFax even has the
capability to store each individual login accounts personal address book data on the
fax server machine, and then provide that data to any fax client whenever
they login on any machine on which a
NetCFax client is installed. This means that you do not have to have to go
back to your own personal PC or Fax client system just to send a fax, as
if your network
NetCFax server is configured to
support the server address book caching system, you can login on any
networked PC that has the NetCFax client installed, and you will have access
to all your personal details and address book entries totally automatically.
For additional security
when the address book data is provided by the fax server, the fax client
automatically deletes it from the local machine when you log back out.
This is in addition to the Roaming Profiles, which of course always get
their address book data and personal details from the fax server.
|
|
|
Networking
-You can if you wish install and use multiple
NetCFax servers on the same local network, allowing you to
diversify your modem use, support different departments or groups, and
optimize other network resources.
Each server has to be licensed separately, and any fax server can be
accessed by any of the fax clients that have a login account for it.
|
|
|
across
the internet
-The NetCFax
system can even be used across the Internet, allowing any fax client to
connect to any accessible NetCFax server,
anywhere in the world. Once connected and logged in, the
fax clients can use all the facilities of that server exactly as though
it was on your own local network, including having that server send out
faxes. This powerful functionality can of course be used by laptop and notepad
users even if they just have a wireless connection (directly r via an
internet connection) to the network where the fax
server machine is installed.

significant advantage to your organization.
|
|
|
client's
address books
-If you have multiple
NetCFax fax servers, the servers
can even exchange this address data between themselves totally
automatically on a timed basis, ensuring that your personal information is
available at any time, on any PC you use, no
matter which fax server a fax client logs into.
|
|
|
Email-to-fax
-NetCFax provides a fully integrated
Email-to-Fax gateway system, with both it's own SMTP server, and the
ability to collect emails from any specified POP3 mailbox. These
emails only need to have the required routing information at the top of
the body of the email and
NetCFax will process them, create faxes from
them and send them out to the fax number specified. You can even
attach TIF files (faxable files) to these emails.
|
|
|
email-to-fax
-NetCFax has it's own
optional add-in SMTP server that will allow any email client to send an
mail directly to the fax server, to be sent out as a fax. It
also has the ability to perform automatic connections to any specified
POP3 mailbox, and download and process these to send them as faxes.
|
|
|
COVER PAGES -NetCFax does
of course allow you to create your own cover page layouts if you wish to
replace any of the four default cover page layouts we provide with those
of your own corporate design. This just requires the use
of the freely available Microsoft Windows 98 Cover page editor, which can
be downloaded from the NetCFax page of this web site, and once you have
created your cover page masterpiece(s), just follow the instructions we
provide as to how to name them and where to save them, and NetCFax will
then automatically use your cover pages instead of it's own
default cover pages layouts.
|
|
|
DIALING RULES -NetCFax provides
a very powerful dialing rules system that lets you pre-configure it so
that your networked fax users do not have to know, or even care, if a
number is local, an extended dialing code, or requires an interstate
prefix (1 in the USA).
if you are in the USA or Canada, and have this system enabled, NetCFax
will check all fax numbers (7, 10 or 11 digit numbers) and
add or remove dialing codes as necessary to ensure the fax can be sent
successfully.
|
|
|
SECURITY - NetCFax does
of course use its own Database systems (DB'S) for normal use when
running, but on closedown, all of this data is saved into what are
basically ASCII text files in a special folder in the servers
installation folder tree. This means that the chance of your
having corruption of the DB systems are very small indeed, and even if
you do, you can recover the entire server system from your backup data
very easily.
All of the faxes that are
sent and received by NetCFax are
also stored as standard TIF image files in the fax cabinet folder, and
can be accessed easily via Windows Explorer if you require to do so, or
backed off to another machine.
|
|
|
There are a great many more features in
NetCFax 2.7x and NetCFax Pro v3.x and PRO+ v3.6 that are not covered here.
That is why we provide free
download systems which provide full access to all areas of the system
for up to 15 days, which lets you see for yourself exactly what NetCFax
can do to meet your business faxing needs.
|
|
|
RECEIVED
FAXES - When NetCFax receives
a fax, it does of course save it in the received faxes drawer of the fax
cabinet. It can also make a PDF copy of the fax, send various
different email notifications based on CSID, COM port etc, in fact it
can even forward it on to another fax number if you wish it to do so.
It can also send notifications to all logged in fax clients, so that
they know immediately whenever a new fax is received.
PRO+ v3.5 ONLY By default, all received faxes are "flagged" as unseen, and
are therefore displayed in the fax cabinet drawer in a BOLD font to
make identification as simple as possible. These seen/unseen flags
can be set from the context menus and using the [S] and [U] keyboard
shortcuts.
